Position Overview:

This position is responsible for providing exceptional financial services operational support to the firm’s clients and wealth managers. The focus will be directed toward the following broad categories: working directly with the firm’s wealth managers and clients to deliver outstanding client service; providing operational and relationship management support to the firm’s retirement plan clients; and being involved in firm-level committees, such as compliance. This position works with other members of the firm’s operations team and reports to the Director of Operations.

Responsibilities include, but may not be limited to:

• Prepare and process paperwork for client accounts and transactions
• Communicate the status of transactions to clients and/or the responsible Wealth Manager
• Ensure client accounts are reviewed and maintained on an ongoing basis
• Prepare proposals, current asset allocations, and balance sheets for prospective and clients
• Coordinate new client onboarding process for clients with appropriate Wealth Manager
• Prepare comprehensive meeting materials for wealth management clients
• Generate and review client performance reports for clients and as requested
• Review alerts that apply to group of clients daily, perform appropriate actions
• Collaborate with the team regularly to ensure clients are being serviced accurately and efficiently
• Serve as a member of the firm’s Operations and Compliance Committees
• Collaborate with other Operations Managers/Wealth Managers on complex client accounts and/or transactions to resolve issues and present the best product/solution to the client
• Printing and Collation of the firm’s quarterly report packages
• Process complex broker/dealer client transactions and requests for clients
• Manage relationships with plan sponsors; third-party administrators and 401(k) plan providers/vendors for assigned qualified retirement plans including resolving complex client service issues for assigned qualified retirement plans
• Assist qualified retirement plan participants with plan administration issues and coordinate with Wealth Manager, TPA, and plan sponsors as necessary
• Order enrollment and/or education kits for plans’ participant education and enrollment meetings and collate all meeting materials
• Prepare plan Due Diligence spreadsheets for both wealth manager meetings with plan trustees and plan participant education/enrollment materials
• Prepare performance analysis on sample investment models as needed for plans
• Collaborate with Wealth Managers to manage new qualified retirement plan client onboarding process
• Manage plan conversion process for plans including coordination with the Wealth Manager, TPA, plan sponsor, plan provider, and plan participants to ensure conversion deadlines are met
• May attend client meetings in an operations capacity as needed
• Assist the firm’s CCO with the preparation of account reconciliations and/or audits
• Maintain detailed and accurate notes and records in CRM for all assigned tasks and client interactions
• Assist with maintenance and administration of firmwide software systems, such as Orion and Junxure
• Utilize initiative and experience to assist in the improvement of firm processes and procedures


Requirements:

• Minimum of 5+ years in the financial services industry, RIA environment preferred
• High level of organization, accuracy, and attention to detail
• Ability to multi-task and prioritize work to meet deadlines
• Exceptional oral and written communication skills
• Advanced Microsoft Office skills, specifically Excel

Preferred Experience and Attributes:

• Bachelor’s degree from an accredited college or university
• Experience working with custodians, preferably Charles Schwab
• Experience using Junxure CRM software or similar technology
• Experience using Orion portfolio accounting software or similar technology
• Knowledge of SEC and FINRA regulations and industry best practices
