Warehouse Administrative Coordinator

We are seeking a detail-oriented and highly organized Warehouse Administrative Coordinator to support daily warehouse operations for one of our valued clients. This role is responsible for assisting warehouse staff with receiving, label printing, sorting processes, load audits, and administrative functions that help keep operations running efficiently and accurately.

The ideal candidate is proactive, dependable, and able to manage time-sensitive tasks with professionalism, strong communication skills, and exceptional attention to detail.


Position Summary

The Warehouse Administrative Coordinator plays a key role in supporting warehouse and administrative operations by coordinating documentation, assisting with logistics processes, maintaining records, and ensuring operational tasks are completed accurately and on schedule.

Key Responsibilities

  • Perform daily load audits to ensure accuracy and compliance
  • Coordinate the ship confirmation process with warehouse personnel
  • Assist with receiving processes and related documentation
  • Provide warehouse administrative support including:
    • Label printing
    • Sorting and organizing documents
    • Filing and recordkeeping
  • Ensure invoices, load summaries, and labels are printed, sorted, and distributed accurately and on schedule
  • Assist with customer communications and operational follow-up as needed
  • Prepare presentations, memos, reports, letters, and additional documentation
  • Process check requests, invoices, and expense reimbursements for authorization
  • Coordinate meetings and scheduling for warehouse and administrative teams
  • Answer incoming calls and direct them to the appropriate departments or personnel
  • Support daily office operations including:
    • Mail distribution
    • Ordering office supplies
    • Copying, scanning, and collating documents
  • Maintain calendars and assist with scheduling and travel coordination
  • Support additional administrative and operational duties as assigned

Qualifications

  • High School Diploma or GED required
  • 4–5 years of administrative experience preferred, ideally within a warehouse, logistics, or distribution environment
  • Strong interpersonal skills with a polished and professional demeanor
  • Proven ability to meet deadlines with a high level of accuracy and organization
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Strong computer, mathematical, and calculator skills
  • Excellent internet navigation and research abilities
  • Outstanding written and verbal communication skills
  • Ability to work independently while supporting multiple departments and team members
  • Strong multitasking and organizational abilities in a fast-paced environment
