Marcilly Recruitment’s client, an international investment firm, is seeking a Team Assistant in a newly created role to support the COO. There will also be ad hoc support to the wider investment team of six who don’t have a designated PA. This will strictly be focussed on travel, expenses and meeting prep because PA support needs to be focussed on their very busy global COO. The COO is a delight to support and will be a fantastic mentor for a Team Assistant looking to grow within operations. You will have fantastic exposure across the business.
This is an exceptional opportunity for a high calibre individual at the early stages of their career. The ideal Team Assistant will have a couple of years of solid professional experience, ideally someone who thrives within a pressurised and fast-paced working environment. The successful Team Assistant will work directly alongside senior management and be part of a close-knit and self-motivated team. They are a great team who all get on well.
Salary: £30,000 - £40,000 depending on experience
Benefits: Generous discretionary bonus; annual salary increase; 25 days holiday, pension, medical & dental
Location: Mayfair – office based five days a week
Hours: 08:00 – 18:00
Start date: ASAP but will wait a notice period
This is a fantastic opportunity for a career hungry Team Assistant to work in an entrepreneurial environment which encourages progression and thinking outside the box. They are looking for a candidate who boasts huge potential to get involved across operations, whilst also loving the basic fundamentals of the role, assisting in meeting room setup and ensuring the office is always looking on point and on brand. Aesthetics are really important. The successful Team Assistant will also take on office management duties over the next year, as they are trained and mentored.
The Team Assistant responsibilities will include, but are not limited to:
- General day-to-day office/facilities maintenance, including liaising with the landlord and service providers for company stationery, internet website, office cleaning etc. IT liaison with outsourced IT provider.
- Gatekeeping, meeting and greeting and liaising with the building’s receptionist for arrivals.
- Supporting the COO and the team with company admin.
- Assist in the processing of expenses and invoices. Reconcile the company credit card charges each month.
- Compliance and corporate governance duties.
- Management of extensive travel often with last minute changes – organisation of any travel requirements including flights, hotels, tickets and visas.
- Extremely high-level diary management, coordinating very demanding schedules with constantly changing priorities.
- Event Management – organisation of any team socials, internal dinners, drinks or networking events – there is a lot of client entertainment.
- Managing client relationships and being a go to for select clients.
- Main point of contact on a day-to-day basis for all admin/office queries.
- Client gifting and assisting in UHNW client care on behalf of your principals.
- Assisting the EA & Office Manager and COO with office projects.
- Client Assistance- development and mentorship will occur under this role to provide EA assistance to one of their UHNW clients.
- Regular collaboration with the wider client coverage team ensuring priorities alignment and effective communication.
- Working with their international offices.
- 2 + years professional experience; financial services industry preferred but not a must
- Exceptional attention to detail whilst always maintaining the highest standards
- Must be advanced in Microsoft Word, Excel, Outlook, and PowerPoint
- Degree educated, ideally Russell Group. They will also consider a candidate if they have good A levels and GCSEs (A* to B grades) if they have not been to university, but instead are secretarially qualified and have worked at high-calibre firms
- Calm, upbeat and unflappable
- Ability to demonstrate initiative
- Have a flexible and proactive approach. They are looking for someone who is highly adaptable as priorities are constantly changing
