The Staff Accountant is responsible for financial procedures including accounts payable, client billing, and accounts receivable, interacting and supporting management, tracking client contracts and coordinating with Project Managers, tracking and maintaining licenses, certificates and memberships, customer, vendors, and employees, using Deltek accounting software, advanced Microsoft Excel, and other tools to track, manage, and report data and responsibilities.

  • Weekly vendor invoice entry including job cost entry and accounts payable check runs
  • Reconcile ZFA credit card accounts
  • Monthly billing including preparation of project manager reports, review of project manager mark-ups, processing of final invoices, and distribution of invoices to clients
  • Accounts Receivable follow up with clients when invoices are 90 days past due
  • Track Client Contracts from proposal to fully executed
  • Maintain database of Engineering licenses, firm licenses, and track renewals
  • Assist with entering new project start-ups into Deltek/Vision
  • Assist with posting Daily Cash Receipts
  • W-9 Form tracking for subcontractors
  • Certificate of Insurance tracking for subcontractors
  • Assist with formatting of specs and calc packages in Microsoft Word
  • General office support including ordering supplies, sorting mail, arrange overnight shipping

EDUCATION AND/OR EXPERIENCE

  • Bachelor's degree (B. A.) from four-year college or university
  • 3 (three) years of related experience and/or training
  • Experience in the Architectural, Engineering & Construction industries, a plus

CERTIFICATES, LICENSES, REGISTRATIONS

  • Must possess a valid California drivers’ license, proof of auto insurance, and be insurable under agency policy if driving a company or personal vehicle
