Position Title: Commercial Escrow Officer
Location: Southwest OH (Cincinnati or Dayton Area)
Position Overview
The Commercial Escrow Officer is responsible for overseeing the entire escrow process for commercial real estate transactions. This role involves close collaboration with all parties involved in the transaction—including buyers, sellers, brokers, and lenders—to ensure accuracy, compliance, and timely closings. The ideal candidate will have a thorough understanding of commercial escrow procedures, excellent communication skills, and a strong commitment to providing exceptional service.
Key Responsibilities

Manage the escrow process from start to finish for commercial real estate transactions.

Coordinate with clients, brokers, lenders, and other stakeholders to collect required documentation.

Establish escrow accounts and ensure timely deposit of earnest money.

Oversee all escrow-related tasks from opening to closing, ensuring that each stage progresses smoothly.

Handle and disburse funds in accordance with escrow instructions and company policies.

Monitor account balances and confirm that all financial instructions comply with legal and company guidelines.

Verify funding and disburse proceeds in accordance with signed closing documents.

Safeguard client funds by adhering to strict security and regulatory standards.

Draft and review settlement statements, ensuring accuracy and compliance with regulations.

Prepare preliminary and final settlement statements, confirming all fees and expenses are recorded correctly.

Cross-check figures, address discrepancies, and finalize statements in collaboration with lenders and other parties.

Maintain up-to-date knowledge of legal and financial requirements to ensure full compliance.

Resolve any issues or discrepancies that arise during the escrow process.

Identify problems such as missing documentation, unclear title issues, or funding delays.

Proactively communicate with all parties to troubleshoot and resolve concerns.

Facilitate prompt resolution, ensuring minimal delays to closing timelines.

Maintain accurate records and documentation for each transaction.

Organize digital and physical files, ensuring all required documents are complete and properly filed.

Update internal systems and databases with transaction statuses and client information.

Assist with audit requests and uphold recordkeeping best practices.

Serve as the primary point of contact for clients throughout the escrow process.

Qualifications & Requirements

High school diploma or equivalent; Bachelor’s degree in Business, Finance, Real Estate, or a related field preferred.
- Knowledge of state and federal regulations governing escrow, title, and real estate transactions.
