INVENTORY SPECIALIST

Job Summary: Manages inventory operations for low voltage public transportation equipment in support of field service technicians. Responsible for ordering, tracking, and maintaining parts inventory, coordinating shipments, and ensuring field teams have the necessary components to service transportation systems. This position works under general supervision and direction.

Essential Job Duties and Responsibilities:

Inventory Management:

  • Maintains accurate inventory levels of low voltage transportation equipment parts, modules, and assemblies
  • Monitors stock levels and initiates reorders to prevent stockouts and minimize downtime
  • Analyzes inventory turnover and attrition rates to optimize stocking levels
  • Conducts regular cycle counts and inventory audits to ensure data integrity
  • Manages inventory control systems and maintains accurate records of all materials

Procurement and Purchasing:

  • Determines requirements for spare parts, modules, and assemblies based on field service needs
  • Prepares and processes purchase orders, requisitions, and vendor contracts
  • Coordinates with Finance department to track purchasing budgets and expenditures
  • Identifies and evaluates suppliers for low voltage transportation components
  • Negotiates pricing and delivery terms with vendors
  • Tracks long lead-time items and proactively manages critical inventory

Field Service Support:

  • Coordinates with field service technicians to determine parts requirements for service calls
  • Expedites urgent parts requests to minimize equipment downtime
  • Maintains communication with field teams regarding parts availability and delivery schedules
  • Supports troubleshooting efforts by providing technical specifications and part compatibility information
  • Tracks parts usage patterns to anticipate future field service needs

Logistics and Distribution:

  • Creates packing slips and shipping documentation for parts deliveries
  • Coordinates shipments to field locations, customer sites, and repair facilities
  • Manages inbound and outbound logistics with vendors and third-party facilities
  • Ensures proper packaging and handling of sensitive electronic components
  • Tracks shipment status and resolves delivery issues

Documentation and Reporting:

  • Maintains detailed records of inventory transactions and parts usage
  • Provides regular inventory reports to management including stock levels, turnover rates, and cost analysis
  • Documents and tracks warranty claims and returns
  • Assists with monthly asset management reporting
  • Maintains vendor performance metrics and delivery statistics

Customer and Internal Support:

  • Collaborates with customers to determine replacement parts and compatibility requirements
  • Provides parts information and technical support to internal teams
  • Maintains professional relationships with vendors, customers, and field personnel
  • Supports help desk functions related to parts availability and technical specifications

Minimum Job Requirements:

Education: High School diploma or GED required

Experience: Minimum of two years of related experience in inventory management, parts coordination, or field service support. Experience with low voltage electrical systems, transportation equipment, or related technical environments preferred.

Skills and Abilities:

  • Strong organizational skills with attention to detail and accuracy
  • Proficiency with inventory management systems and database software
  • Excellent written and verbal communication skills
  • Ability to build effective working relationships with field technicians, vendors, and customers
  • Strong analytical and problem-solving capabilities
  • Ability to work under pressure and manage multiple priorities
  • Basic understanding of low voltage electrical components and systems preferred
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook)
  • Ability to adapt to changing technology and fast-paced environment

Physical Requirements:

  • Ability to lift up to 50 lbs occasionally
  • Ability to work in warehouse and office environments
  • Manual dexterity for handling small electronic components

Work Schedule:

Monday - Friday, 8:30am - 5:00pm
