Job Description

The contractor must, in accordance with IAC’s Terms of Reference and operating procedures and in coordination with the co-chairs and the secretariat:

  • Conduct an initial kick-off meeting to discuss deliverables and timelines;
  • Attend all in-person and virtual meetings required by the secretariat in preparation for and in support of committee meetings;
  • Prepare a draft agenda for review by the co-chairs and secretariat before each scheduled meeting;
    • Facilitate, moderate and support discussions during all committee meetings by keeping the discussions focused and fair, giving equal consideration to all parties, ensuring all perspectives are heard, and taking a proactive role in assisting members to identify issues and common ground, and more specifically: Encourage committee members to participate, engage and interact productively, and guide the group through an effective and productive process;
    • Identify and clarify disputed issues, consider available options to reach a consensus;
    • Reframe issues in a neutral way for all parties to understand differing viewpoints;
    • Maintain neutrality and impartiality during IAC meetings;
    • Keep time to ensure that the planned agenda is completed as per the allotted time, or in accordance with the committee agreeing to a modification; and
    • Receive and present views of members who are unable to attend a meeting.
    • Finalize meeting minutes with the co-chairs and the secretariat after each meeting, working with draft minutes that will have been written by the secretariat;
    • Review and synthesize advice provided by IAC along with relevant information provided by IAAC, drawing out key insights and clarifying complex or implicit points to support clear understanding;
    • Conduct research as needed to support the drafting of IAC’s advice and reports;
    • Draft IAC’s advice and reports and work with all parties to integrate comments and feedback;
    • Participate in the monitoring of the efficiency and effectiveness of the committee, including bilateral discussions with the co-chairs as needed;
    • Facilitate additional meetings that may be held at the committee’s discretion; and
Maintain regular communication with all parties, providing status updates and addressing any issues promptly.
