The Senior Administrative Specialist III provides executive-level administrative, operational, and resource management support to senior leadership within the Centers for Disease Control and Prevention (CDC), Office of Policy, Performance, and Evaluation (OPPE), and Office of Budget, Policy, and Analysis (OBPA).
This position serves as a critical member of the executive support team, ensuring continuity of operations, coordination of leadership activities, travel and training management, executive communications, and administrative support for mission-critical initiatives. The Specialist works closely with senior federal leadership, internal stakeholders, and external partners to support strategic priorities and daily operations.
Essential Duties and Responsibilities
Administrative & Resource Management Support
- Support Resource Management Team (RMT) activities, including personnel onboarding and offboarding processes
- Maintain project trackers, schedules, action item logs, and status reports
- Monitor and manage shared mailboxes and distribute correspondence appropriately
- Prepare reports, executive briefings, presentations, and supporting documentation
- Coordinate administrative meetings and document action items and follow-up requirements
- Provide administrative support to facilitate efficient office operations and communication workflows
Travel & Training Coordination
- Prepare and process domestic and international travel authorizations
- Review and submit travel vouchers and reimbursement documentation
- Maintain travel projections, budget tracking tools, and cost-management spreadsheets
- Coordinate conference attendance requests and approval documentation
- Prepare, submit, and track employee training requests
- Assist staff with travel- and training-related inquiries while ensuring compliance with CDC policies and federal travel regulations
Executive Leadership Support
- Manage executive calendars, schedules, meetings, and appointments
- Coordinate executive-level meetings, conferences, and leadership engagements
- Prepare itineraries, agendas, briefing books, read-ahead materials, and executive correspondence
- Facilitate VIP visits, special events, and leadership activities
- Serve as a liaison between CDC leadership, HHS personnel, and external organizations
- Develop presentations, talking points, executive summaries, briefing documents, and award nomination packages
- Ensure all executive support activities comply with CDC and HHS policies and procedures
Records & Communications Management
- Maintain electronic and physical records in accordance with agency requirements
- Coordinate document routing, review, and approval processes
- Assist with records retention and administrative documentation management
- Support leadership communications and information dissemination activities
- Maintain confidentiality of sensitive and controlled information
Required Qualifications
- Minimum of five (5) years of experience providing senior-level administrative support to executive leadership, federal agencies, or equivalent organizations
- Demonstrated experience managing executive calendars, travel coordination, and executive correspondence
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Excellent organizational, written, and verbal communication skills
- Ability to manage multiple priorities in a fast-paced executive environment
- Strong attention to detail and ability to maintain confidentiality
- Ability to work independently while supporting multiple stakeholders
- U.S. citizenship or ability to successfully obtain required federal credentials and access
Preferred Qualifications
- Experience supporting CDC, HHS, or other federal agencies
- Experience coordinating executive-level meetings, briefings, and special events
- Familiarity with Federal Travel Regulations (FTR)
- Experience supporting resource management, budget tracking, or administrative operations
- Experience working within a non-personal services government contract environment
- Knowledge of federal records management and administrative procedures
Work Schedule
- Full-time position
- Generally performed during CDC business hours (9:00 AM – 5:00 PM Eastern Time)
- Additional flexibility may be required to support executive leadership priorities and mission requirements
Work Environment
- Primarily on-site at CDC facilities in Atlanta, Georgia
