Administrative Secretary

  • Schedule management
  • Book hotel reservation
  • Book flight reservation
  • Arrange ground transportation


  • Answer phones and distribute calls to appropriate parties
  • Maintain phone system –outgoing messages and forwarding calls to direct lines or voice mail
  • Manage phone related matters
  • Greet visitors
  • Interface with our customers, suppliers and vendors


  • Incoming and outgoing fax distribution and file maintenance
  • Accounts payable checks / vouchers
  • Purchase order/ shipping files
  • Maintain office expense files
  • Maintain storage room


  • Mail letters and packages to domestic and international recipients (including typing labels)
  • Secure daily mail, sort and distribute to appropriate personnel
  • Manage postal meter activity
  • Manage Federal Express and UPS accounts including tracking and related problem solving

Travel Planning and Coordination

  • Book hotel reservation for guests
  • Arrange ground transportation for guests
  • Assist sales staff with travel planning

Sales Support

  • Create purchase orders to suppliers
  • Create sales invoices to customers
  • Prepare order files/labels
  • Maintain order files
  • Respond to general sales inquiries
  • Assist sales staff as required
  • Prepare claim files
  • Update sales log

Various administrative

  • Type documents for staff as required
  • Toner management of office equipment including copier, fax and printers
  • Maintain office supplies
  • Distribute Christmas cards and annual calendar
  • Maintain mailing lists / prepare labels
  • Office machine maintenance
  • Maintain break room and related supplies

This assignment will start around August 2019 for
