The Receptionist Assistant is responsible for providing front desk and administrative support to ensure the smooth and efficient operation of the office. The role involves greeting visitors, managing telephone communications, maintaining records, handling correspondence, and managing office and camp supply inventories.
Responsibilities
- Welcome visitors and clients in a friendly and professional manner.
- Direct visitors to the appropriate personnel or office.
- Maintain a professional and organized reception area.
- Answer incoming calls and direct them to the appropriate departments.
- Take messages and ensure they are delivered promptly
- Provide accurate information to callers and visitors when required
- Prepare timesheets for fortnightly and monthly staff.
- Input and maintain data from newspapers or other relevant sources.
- Receive, sort, and distribute mail, packages, and deliveries.
- Sort and organize monthly newspapers and ensure they are stored appropriately.
- Arrange water deliveries for the office, maintaining records of delivery dates.
- Assist with other administrative and office duties as assigned by management.
- Minimum of CXC/CSEC passes in English Language and Mathematics.
- A Certificate or Diploma in Office Administration, Business Administration, or a related field would be an asset.
- At least 1–2 years of experience in a receptionist, administrative, or customer service role.
- Experience with office procedures, telephone systems, and administrative support functions is preferred.
- Strong verbal and written communication skills
