Our client based in Cape Town, Airport Industrial, is looking for a Receptionist / Office Administrator to join their team.

NB: MUST HAVE VALID DRIVERS LICENCE AS WELL AS OWN VEHICLE

Performance Areas Tasks/Functions

Front Office

  • Answer the switchboard
  • Receipt of faxes, documents and e-mails
  • Receive candidates and clients at reception
  • Forward and distribute information to relevant staff members
  • Arrange refreshments for meetings and clients
  • Boardroom bookings
  • Coordinate the cleaners
  • Administrative/Reception duties will include handling phones, calendar management, filing, detailing messages, ordering office supplies and general office management tasks
Assistance to Directors
  • Quotations for Directors
  • Bookings – reservations, traveling etc.
  • Personal errands
  • Keep track of deadlines, meetings and call backs
Office Management
  • Stock control
  • Quotations for office equipment and services
  • Assist Office Manager with maintenance of the building and equipment
  • Keep inventory of and order of daily office consumables
  • Interface with Suppliers and various internal departments if needed
  • Assist with general purchases of Incentives
  • Strong administration skills
Admin
  • Photocopying & scanning
  • Filing
  • Faxing
  • Post/ mails
  • Manage PO's and other purchase billing / invoices for Petty Cash; order services as required
  • Assist with compiling and distributing information and materials for meetings and trainings
  • Assist with special projects and research as needed
Events
  • Assist with planning staff events/ functions
  • Coordinating birthday parties
  • Assist with OPS Incentive initiatives
  • Organise and arrange celebratory events e.g. Birthdays, internal work functions
Information Security
  • Adhere to applicable information security procedures and policies as updated from time to time on the ISMS
  • Report any information security incidents or potential information security threats to the Information Security Management Officer or your Manager
  • Take a proactive approach to delivering effective information security
