Real Estate Paralegal / Legal Assistant

We are actively seeking a highly organized, detail-oriented Real Estate Legal Assistant/Paralegal to join our dynamic team in Austin. In this role, you'll handle various aspects of land development entitlements including zoning, platting, permitting and more. You will play a pivotal part in client communications, transactional processes, and provide legal support on real estate law issues across the state of Texas. Essential Duties and Responsibilities:

  • Serve as the primary point of contact for clients, handling inquiries and updates related to pre-closing, closing, and post-closing matters to maintain positive relationships.
  • Maintain tracking systems to monitor payments and closing documents for real estate transactions, ensuring follow-up with title companies and other stakeholders to secure missing funds or documentation.
  • Prepare, assemble, and transmit closing binders, documents, and related correspondence, with required indexing.
  • Oversee client billing and invoicing, including tracking of billable hours and expenses, to ensure the delivery of accurate and timely billing statements.
  • Assist clients and project teams with analyzing current site entitlements versus required entitlements for proposed projects across Texas.
  • Conduct robust property research, including review of zoning, plats, surveys, site plans, ordinances, and land use regulations.
  • Create and present PowerPoint presentations for public hearings, utilizing online tools such as City GIS to support research and presentation needs.
  • Collaborate with local government agencies, and engage with elected and appointed officials to submit and process permit applications efficiently.
  • Ensure adherence to a monthly billable hour requirement of 100-115 hours starting after the initial 90-day period.
  • Engage in continuous professional development to maintain and expand expertise in real estate law and transactional procedures.

Minimum Position Qualifications:

  • Minimum 5 years hands-on experience in Real Estate transactions and law.
  • Proficient in Microsoft Office Suite and capable of managing databases and presentations.
  • Exceptional organizational skills with the ability to prioritize tasks effectively.
  • Strong independent working capabilities and excellence in managing time limits and deadlines.
  • Detailed knowledge and experience working within municipal, county, and state government processes.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Advanced degrees or certifications related to real estate law are highly valued.
  • Prior experience working directly with land development projects, including plats, zoning, and site plans.
  • Experience in client-facing roles within a law firm.
  • Background in working with GIS tools for research and presentation purposes.
  • Legal project management experience.
