Project Management Coordinator

We are seeking a detail-oriented, effective, and experienced Project Management Coordinator to join our team at SEG in Phoenix, AZ. In this role, you will be instrumental in supporting the Program Management Department by ensuring that all project management processes are optimized and adhered to. This position involves a blend of administrative support, process improvement, planning, and budget management, aimed at enhancing project delivery and satisfaction.

Salary: $90,000+ per year

Essential Duties and Responsibilities:

  • Maintain and organize project documents such as plans, status reports, schedules, and ensure their accuracy and accessibility.
  • Facilitate effective communication across project managers, team members, and stakeholders.
  • Manage the project management system, ensuring its efficiency and data integrity.
  • Develop and automate reports to streamline reporting processes and meet departmental needs.
  • Input critical project data into management systems and generate performance tracking dashboards.
  • Assist in resource allocation and track utilization to optimize project staffing.
  • Schedule, coordinate, and prepare for meetings, workshops, and project reviews ensuring smooth execution of projects.
  • Monitor project budgets and performance, creating detailed reports for management review.
  • Contribute to the preparation and submission of RFPs and support proposal development.
  • Conduct internal audits to enforce and enhance project management standards and methodologies.
  • Identify and implement process improvements within the program management sphere, developing SOPs and maintaining a best practices repository.
  • Organize training sessions to promote and ensure adherence to new processes and standards.
  • Provide administrative support including risk tracking, documentation, and meeting management.

Minimum Position Qualifications:

  • Bachelor’s degree in Engineering Management, Business Administration, Project Management, or a related field.
  • At least 8 years of experience in project management or administrative roles within the Engineering, Architecture, and/or Construction industries.
  • Proficiency in project management software such as BQE Core, Smartsheet, or Microsoft Project.
  • Strong organizational, communication, and interpersonal skills with a high attention to detail.
  • Ability to work independently and collaboratively within a team environment.

Preferred Qualifications:

  • Executive Master of Business Administration (MBA) degree.
  • Recognized project management certifications like PMP or equivalent.
  • Familiarity with project management methodologies such as PMBOK or Agile is highly advantageous.
