Job Description

BCTG's direct client is looking for a project coordinator to provide day-to-day coordination support for the key administration activities for their customers and commerce delivery team.

RESPONSIBILITIES

PRIMARY FOCUS AREA #1: - Invoice & Budget

  • Manage Program POs for tracking spend (move to finance section above?)
  • Coding invoices in SAP and maintaining paid invoices documentation
  • Creating or Modifying purchase orders within SAP and corresponding excel documents
  • Researching invoices as needed
  • Attending monthly budget management meetings with program PMO as needed

ADDITIONAL FOCUS AREAS

FOCUS AREA #2 - Project Coordination

  • Responsible for administration of program Confluence sites
  • Maintain workshop schedules, assist in preparing workshop deliverables and execute workshop logistics (schedule rooms, resources and coordinate meals)
  • Assist Program Management in the updating and maintenance of project schedules
  • Coordinate and collate weekly status reports from each work stream
  • Assist in deliverable sign-off and tracking

FOCUS AREA #3 – Training Coordination

  • Planning training events and activities
  • Scheduling personnel and instructors for classes
  • Coordinate facilities and materials to support the training activities

FOCUS AREA #4 – Resource Coordination

  • Coordinate, maintain and execute onboarding/off-boarding procedures and materials
  • Coordinate interview schedules for contractors
  • Coordinate onboarding / off-boarding of project resources

FOCUS AREA #5 – Schedule Coordination

  • Monitor and report on monthly employee and contractor time-tracking
  • Maintain team calendar (vacations/travel/etc.)
  • Coordinate key meeting logistics – attendees/locations/etc.

ADDITIONAL RESPONSIBILITIES NOT COVERED IN FOCUS AREAS

  • Document and distribute workshop/meeting minutes, as required
  • Provide administrative support (calendar management, expense management)
  • Assisting Program PMO with other activities as required

EDUCATION & PRIOR EXPERIENCE NEEDED

  • 2-4 years’ experience in a project coordinator role
  • Associates Degree or an equivalent combination of education, training, and experience.
  • Experience working on large projects with multiple vendors
  • Proficient in SAP invoice or similar ERP invoice management system
  • Proficient in Microsoft Office products
  • Knowledge in Microsoft SharePoint, Visio and Project a plus
  • Excellent customer service orientation
  • Organized, with strong attention to detail
  • Effective interpersonal, verbal and written communication skills
  • Team oriented/collaborative work style
  • Works well in fast-paced environment
