The Project Accounting Billing Specialist primarily handles high-volume and complex client billing of structural engineering projects. The Specialist utilizes knowledge of accounting principles related to classifying, recording, and summarizing data and making computations to compile and keep financial records. The Specialist studies and analyzes project and accounting records for purposes of preparing, administering, tracking, and correcting client invoices, statements, and internal management reports. The Specialist interacts with and supports management and specifically Project Managers by tracking client contracts, tracking and maintaining engineering and business licenses, certificates and memberships, clients and contracts, vendors and subcontractors, and employee’s status with the firm using Deltek accounting software, advanced Microsoft Excel, and other tools to track, manage, and report data and responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Weekly vendor invoice entry including job cost entry and accounts payable check runs
· Reconcile company credit card accounts
· High volume and complex monthly project billing including preparation of project Manager reports, review and coordination of Project Manager’s mark-ups, processing of final invoices, and distribution of invoices to clients
· Research and resolve billing and accounts receivable issues and communicate with Project Managers and clients regarding past due invoices
· Track client contracts from proposal to fully executed
· Maintain database of engineering licenses, firm licenses, and track renewals
· Enter new project start-ups into Deltek/Vision
· Post Daily Cash Receipts
· W-9 Form tracking for subcontractors
· Certificate of Insurance tracking for subcontractors
· General office support includes ordering supplies, sorting mail, arranging overnight shipping
EDUCATION AND/OR EXPERIENCE
· Bachelor's degree (B. A.) from a four-year college or university or two-year community college is preferred but not required or 3 (three) years of related experience in accounting and contract/billing experience
· Excellent Microsoft Excel program skills
· Experience in collections calls
· Experience in the Architectural, Engineering & Construction industries preferred
· Deltek/Vision/Vantagepoint experience is significantly advantageous
CERTIFICATES, LICENSES, REGISTRATIONS
- Must possess a valid California driver’s license, proof of auto insurance, and be insurable under agency policy if driving a company or personal vehicle
