Join a cutting-edge, technology-driven TPA and play a key role in shaping the future of 401(k) administration! Our client is looking for a 401(k) Retirement Plan Administrator who is eager to learn, highly motivated, and passionate about improving the client experience. As the second dedicated administrator, you’ll support financial advisors and employers by managing onboarding, compliance, and plan administration processes.
This role is ideal for someone who thrives in a fast-paced, evolving environment—whether you have full A-Z plan administration experience or are looking to grow into it. You'll work closely with Plan Consultants, utilize advanced Excel skills for compliance testing and reconciliations, and contribute to building scalable, tech-driven solutions.
Essential Duties and Responsibilities:
- Support consultants across onboarding, annual administration and 3(16) monitoring services.
- Provide sales support by requesting proposals, managing CRM data, gathering and reviewing documents.
- Manage the onboarding process in conjunction with our recordkeeper partners.
- Prepare plan documents, disclosures, and amendments to meet client goals and align to various Recordkeeper products.
- Gathering, organizing, and reviewing reports from Recordkeepers, clients, and payroll reports.
- Perform required non-discrimination testing (ADP/ACP, etc) and ensure compliance with ERISA and IRS regulations.
- Review payroll and employee data to determine eligibility and calculate employer contributions.
- Analyze and reconcile plan assets and deposits (where 3(16) services are performed).
- Review and approve participant distribution, loan, and rollover contribution requests.
- Prepare relevant informational and tax forms, including Form 5500, Form 8955-SSA, and Form 5330.
- Understand and develop corrections for plan errors under IRS and DOL programs.
- Prepare quarterly reviews for financial advisor partners.
- Utilize Excel skills to create and manage complex formulas to streamline plan administration, effectively prototyping and testing future platform builds.
- Proactively identify improvements to existing processes and client service practices; build new processes and documentation to support team growth.
Experience and Certifications Required:
- Minimum of 2-5 years of experience in 401(k) plan administration.
- Advanced proficiency in Microsoft Excel, with the ability to build complex formulas.
- Strong problem-solving and analytical skills with an exploration mindset.
- Highly self-motivated and open to continuous learning.
- Detail-oriented with a positive attitude and a passion for professional growth.
Skills Required:
- Open to Junior-Level Candidates: Full A-Z plan administration experience is not required—training will be provided for those eager to learn and grow.
- Excel Proficiency: Strong comfort level with Excel, especially for compliance testing and reconciliations.
- Preferred Experience: FTW (ftwilliam.com) and ASPPA certifications are highly preferred.
- Gradual Workload Increase: Initial workload will be light, with a ramp-up expected around December/January.
- Collaborative Role: Work closely with the Plan Consultant to support onboarding, administration, and compliance processes.
