As an Office Services Assistant, you will be providing general office support and a variety of clerical tasks, assisting in the smooth operation of the Mobile office.
Conference Rooms: Setting up for firm meetings; keeping conference rooms organized with supplies
Courier/Court Runs: Backup courier for all court runs, by-hand deliveries and pickups throughout Mobile and Baldwin Counties
Hospitality: Morning and afternoon coffee setups; Organization and stocking of all supplies; Coordinate and order all meals for in office breakfast and/or lunch meetings; Special events, as needed.
Office Services:
- Mail pickup and delivery – morning/afternoon
- Supplies – keeping all supplies stocked and organized
- Post Office – certified mail, daily mail
- Fedex/UPS – morning delivery and afternoon shipments
- Copying/Scanning/Printing/Binding/Faxes
- Equipment Inventory
- Special projects as requested
- Stock paper/clips/staples at copiers and printer hubs
Reception: Backup receptionist, as needed
Secretarial Teams: Administrative support for corporate and litigation secretarial teams; File organization; Special Projects
Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are Monday through Friday, 8:30-5:00.
Experience:
- One year of administrative experience, preferably in law office environment.
- Proficient in Microsoft Office; i.e. Word, Excel, Outlook, PowerPoint
