Position Summary
The Office Manager serves as the operational backbone of the company. This role is responsible for translating leadership vision into seamless daily execution, ensuring operational excellence, elevated client experiences, and effective staff performance.

This is a leadership role requiring discretion, initiative, and the ability to manage people, systems, and workflows in a fast-paced luxury environment

Key Responsibilities
Operations & Systems Management
  • Create and implement scalable systems that facilitate growth; exceptional performance in this area will be recognized and rewarded.
  • Oversee day-to-day spa operations
  • Implement and enforce SOPs
  • Maintain opening and closing protocols
  • Optimize scheduling and room utilization
  • Identify gaps and recommend improvements
Staff Management & Leadership Support
  • Supervise front desk and support staff
  • Assist with hiring, onboarding, and training
  • Manage schedules, attendance, and performance
  • Foster a professional workplace culture
Client Experience & Service Excellence
  • Uphold luxury service standards
  • Handle escalated client concerns
  • Monitor satisfaction and retention
Administrative & Financial Oversight
  • Daily cash handling and POS reconciliation
  • Prepare reports for ownership
  • Assist with payroll and HR documentation
Inventory & Vendor Coordination
  • Monitor stock levels
  • Coordinate reordering
  • Minimize waste and shrinkage
Owner & Executive Support
  • Provide operational insights
  • Support strategic initiatives
  • Act as owner representative when needed

Required Education and Training
  • Medical spa or aesthetics experience
  • HR or people-management exposure
  • 2–3 years management experience
  • Strong leadership and organizational skills
  • Financial and operational literacy
  • High emotional intelligence
