Office Administrator/Manager

An exciting opportunity has become available for an experienced Office Administrator to join a well-established, privately owned company based in Whangārei. With over four decades of industry experience, this business is renowned for delivering high-end, design-focused interior solutions that combine function, form, and craftsmanship.
This role offers diversity, responsibility, and the chance to play a key part in the day-to-day operations of a small but passionate team. It will suit a capable allrounder who is confident working across administration, finance, sales support, marketing coordination, and general office upkeep.
Key Responsibilities
Administration & Finance
- Manage incoming calls and general office communication
- Provide administrative support to the sales team
- Prepare quotes and assist with job entry via Workflow Max
- Oversee Xero accounts – reconciliation, payroll, bill payments
- Manage accounts payable/receivable and follow up overdue accounts
- Complete PAYE, GST returns, and payday filing
- Generate weekly and monthly KPI reports
- Maintain and update CRM systems and project tracking (Pipedrive & Smartsheet)
- Order office, packaging, marketing, grocery, and cleaning supplies
Sales & Marketing Support
- Maintain contact databases and input new enquiries
- Support marketing activity including basic social media posts
- Liaise with external marketing providers
- Coordinate the ordering of branded materials
General Office Upkeep
- Daily kitchen duties
- Weekly cleaning – vacuuming, dusting, bathrooms, and floors
About You
To succeed in this role, you will bring:
- Proven experience in an administrative or office management position
- Strong knowledge of Xero and general accounting processes
- Excellent organisational and time management skills
- A proactive, adaptable approach and attention to detail
- Strong communication skills and a collaborative mindset
- Office hours are: Monday to Friday, 40hrs per week – working between 8am and 5pm.
- ASAP start date
- Experience in the building or construction industry would be ideal
- Minimum 5 years experience as an Accounts Administrator/ Office Manager
- Strong Knowledge of Xero
- Have permanent work rights with no restrictions
