Office Admin & Bookkeeper

CBIZ Talent & Compensation Solutions is assisting our client in their search for an Office Admin & Bookkeeper.

Responsibilities

  • Handle financial records including purchases, sales, receipts, and payments
  • Manage the processing of accounts payable and receivable
  • Conduct monthly reconciliations of every bank account
  • Ensure all transactions are correctly categorized for financial statement preparation
  • Prepare and deliver financial reports
  • Comply with all accounting and financial regulations
  • Compile, analyze, and report financial data to management
  • Maintain stability and accuracy of our financial records
  • Assist with budget preparation and financial planning processes.
  • Manage financial transactions including fixed payments, variable expenses, bank deposits, and budgets.
  • Address routine client communications regarding invoices, payments, and other related issues.
  • Update internal systems with financial data and maintain the confidentiality of financial information.
  • Maintain both digital and physical records of invoices and contracts.
  • Professionalism and courteous as they will be speaking to clients
  • Mail merges in Word for client communications
  • Competency with records maintenance and filing
  • Create and maintain records, files, reports, and databases utilizing Microsoft Suite: Excel, Outlook, Word.
  • Answer phone calls and emails, handling or directing inquiries as needed.
  • Perform general office management tasks, including maintaining office supplies and equipment.
  • Support the management team in daily operations and special projects.
  • Maintain and organize office records and ensure compliance with company policies.
  • Maintaining client’s hardcopy and digital files and personal information.
  • Entry of all client’s payroll statements when applicable.
  • Annual 1099 preparation.
  • Maintenance of all vendors (i.e., obtaining W9’s, if/as needed).
  • Expense Coding.

Qualifications

  • Strong understanding of Generally Accepted Accounting Principles (GAAP).
  • Knowledge of Great Plains accounting software desired, but not required.
  • Proficiency in using accounting software and Microsoft Office Suite, especially Excel & Word.
  • Excellent attention to detail and high level of accuracy.
  • Strong organizational and time management skills.
  • Ability to handle confidential information with discretion.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Proven ability to meet deadlines and work under pressure.
  • Strong problem-solving skills and analytical abilities.
  • Ability to prioritize and manage multiple tasks efficiently.
