Job Purpose

The purpose of this job is to provide administrative support for business development, marketing, and office operations.

Duties and Responsibilities

The job duties and responsibilities include, but are not limited to the following:

Business Development

  • • Review RFIs, and prepare quality RFI responses
  • Review Requests for Proposal (RFPs) and prepare high quality proposals that address all aspects required by clients, including budget, timeline, and scope of work
  • Work closely with clients, senior management, and other internal team members to prepare budgets and proposals.
  • • Liaise with third party vendors for bids for proposals
  • • Participate in and lead proposal strategy and bid defense meetings, as needed
  • Facilitate smooth transition to the project team after project award
  • Ensure proposals and contracts information is processed into and maintained in relevant tracking databases
  • • May participate in development/modification of department tools and procedures
  • Assist with company marketing / sales initiatives as needed
  • • Participate meetings via phone and take minutes

Marketing

  • • Assists with the creation of document templates in Word, Excel, and PowerPoint
  • • Assists with social media platforms
  • Assists with other marketing initiatives as needed

General Office & Reception

  • Greet and assist visitors, maintain log of all visitors including name, affiliation, date and time of visit, and manage parking validation
  • Answer telephones, route calls to individual employees or support team, as appropriate; or accurately take and deliver messages
  • • Accept and sign for packages delivered to office; and notify addressees/department of arrival

Business Development/Executive Assistant

  • Perform a variety of routine clerical tasks as assigned, which may include processing of incoming and outgoing mail, sending and delivering fax messages, arranging for and maintaining logs for package pickup and delivery, photocopying, etc.
  • • Assist with ordering supplies.
  • • Performs administrative duties associated with scheduling and coordinating meetings
  • Composes and produces business correspondence, reports and related materials
  • • Updates support database as assigned
  • • Handle the processing of credit card payments
  • • Performs other related duties as requested or assigned.

Qualifications

Minimum Education & Experience:

  • Minimum Education: High school diploma or equivalent; Associate’s degree or higher preferred
  • Minimum Experience: 1-3 years’ experience; 3-5 years preferred

Minimum Skills, Knowledge, & Abilities:

General

  • Ability to learn quickly, problem solve, and take charge confidently.
  • • Ability to interact with people professionally on the phone, as well as in person
  • • Must have attention to detail.
  • Strong communication, analytical and multi-tasking skills
  • Demonstrated history working independently and as part of a collaborative team
  • • Able to digest instructions without deviating from precise directions
  • Proficient in the use of a personal computer and corresponding programs, fax, and photocopier required.
  • Extensive knowledge and advanced proficiency with Adobe Acrobat and Microsoft Office Suite applications (Word, Excel, PowerPoint and Outlook).
  • • Demonstrated knowledge of office/business operations, business development, and sales/marketing.
  • Must be able to manage workload, complete tasks in adherence with established timelines, and communicate effectively without direct supervision.
  • Must be able to effectively organize, execute, and follow-up on projects.
  • • Graphic design experience appreciated.

Communications

  • Must have excellent written and oral communication skills. Writing sample will be requested.
  • Must be comfortable writing and speaking across multiple functional areas
  • • Demonstrated ability to write and edit technical content

Proposal Writing

  • Must have experience with RFI/RFP responses for government contracts, with minimum of 3 years of proposal writing with Government contracts, and ability to interpret RFIs, RFPs, and protocols
  • Experience with budget creation

Other

  • • Must be a U.S. Citizen
  • • Must have a valid/current driver’s license
