The Materials Coordinator/Purchasing Agent is responsible for purchasing, inventory management, and vendor relations for the plant. Through the use of the computerized maintenance management system (CMMS), the Materials Coordinator/Purchasing Agent will provide an uninterrupted flow of materials, supplies, and services to support maintenance, production, and other department schedules within the plant. The Materials Coordinator/Purchasing Agent will coordinate the overall lifecycle of purchasing, inventory, and vendor relations processes and will take a proactive approach in reviewing current systems and procedures, making recommendations to the Maintenance Manager for continual process improvements. The Materials Coordinator/Purchasing Agent will direct the day-to-day activities of the Warehouse Operator.
The Materials Coordinator/Purchasing Agent will support all policies, goals, and objectives of the company and will represent the company in a knowledgeable and professional manner.
Summary of Essential Job Functions
Inventory and Materials
Responsible for maintaining accurate inventory by ensuring successful processes are in place to track inventory flow with optimal inventory is present and ready for use.
Coordinate with the Maintenance Planner/Scheduler, and other necessary personnel to ensure that materials and services support the Maintenance Schedule and other departments’ needs.
Maintain accurate and timely status on all purchase orders and keep appropriate departments informed of any problems or potential problems that may cause late shipments.
Monitor the site’s chemical usage; coordinate findings with appropriate department management and place chemical orders.
Oversee and coordinate inventory accuracy in conjunction with Accounting through cycle counting, appropriate inventory transactions, and physical inventory counts.
Maintain a clean and organized warehouse.
Perform warehouse work related to receipt, shipment, storage, distribution, or delivery of products, parts, and materials.
Operate a hand truck, forklift, or other heavy equipment to load, unload, move, or store items according to delivery or routing documents, warehouse needs, or management instructions.
Analyze, identify, and implement improvement opportunities in the inventory management function.
Purchasing
Responsible for the purchase order process from initial quote preparation to final verification as well as authorize payments for purchases and reconcile paperwork against delivered items.
Monitor and track the status of purchase orders through reporting tools to ensure the on-time delivery of all materials. Communicate any changes throughout the organization.
Manage supplier relationships by acting as the main contact for timely resolution of pricing, quality, quantity, delivery, and invoice issues.
Work with accounting, maintenance, production, and other departments to maintain proper paperwork for equipment, parts, and services purchased.
Monitor and communication significant cost structure impacts to appropriate department personnel.
Analyze, identify, and implement improvement opportunities in the purchasing function.
Other Essential Functions
Coordinate with the appropriate department personnel to assist in the development of the weekly maintenance schedule.
Assist with engineering projects as directed.
Provide input to management and suggest improvements for efficiency.
Ensure safe work practices are implemented at all times. Report any safety issue or problem to manager and EHS Manager immediately.
Other duties not listed herein, but which need to be accomplished to maintain safe and productive day-to-day operations within the plant.
Maintain a high level of service and work performance, promote a team environment, and maintain a pleasant work environment.
Maintain confidentiality of all records and company matters.
Minimum Requirements
Associate’s Degree in a related field.
A combination of relevant experience and education will be considered in lieu of an associate’s degree.
A minimum of a High School diploma or GED is required.
2 years of inventory management experience.
2 years of purchasing related experience.
2 years of manufacturing, industrial, or agricultural experience.
Need general parts, electrical, welding, and mechanical equipment understanding.
Experience in maintenance beneficial.
Valid driver’s license required.
Able to read, write, and comprehend the English language.
Skills/Abilities Required
Must be detail-oriented, have a high degree of accuracy, and superior follow-up skills.
Strong analytical and problem-solving skills.
Thorough understanding of purchasing and inventory policies and procedures.
Excellent communications, organization, documentation, and time management skills.
Intermediate knowledge of MS Office, including MS Excel and the ability to quickly learn different software programs.
Have the ability to perform essential job functions outside of normal working hours.
Attention to safety and environmental compliance is critical.
Physical Requirements
Physical ability to work around and on industrial equipment.
Physical ability to climb stairs and ladders up to 30 feet.
