This is a direct hire opportunity for a diligent and dedicated Legal Assistant / Client Specialist, who will be a key part of our legal team. Our Legal Assistant / Client Specialist plays a crucial role in managing case files from inception through to conclusion, providing exceptional client service and support during the litigation process. This position requires a proactive individual capable of managing numerous administrative responsibilities while maintaining the highest ethical standards and confidentiality. This role is pivotal in ensuring our cases progress in a timely manner while delivering outstanding quality and service to our clients.

Essential Duties and Responsibilities:
- Provide comprehensive administrative support to attorneys and paralegals including mail processing, filing, phone support, and performing general office duties.
- Draft various legal correspondences and manage the preparation of legal documents such as complaints, motions, and orders.
- Schedule, calendar, and manage logistics for case-related meetings like mediations, depositions, and court hearings.
- Coordinate with external partners such as court reporters and expert witnesses to ensure meeting and court session needs are met.
- Monitor and manage case deadlines and submissions, ensuring compliance with court orders and trial schedules.
- Track and manage the execution and response of legal summons and discovery processes, ensuring accurate documentation in case management systems.
- Prepare for, schedule, and facilitate mediation sessions including summary preparation and client communications.
- Facilitate preparation of trial and meeting materials, including PowerPoint presentations and legal documentation.
- Ensure up-to-date and accurate case file and database management incorporating all necessary documents and updates into CLIO.
- Maintain proactive communication with attorneys regarding case status, client updates, and urgent case matters.
- Handle the closing of case files ensuring all final documents are correctly placed and updated in CLIO and other systems.
Minimum Position Qualifications:
- Bachelor’s degree or equivalent combination of education and experience in legal or administrative fields.
- At least 1-3 years of administrative support experience, ideally within a legal environment.
- Proficiency in Microsoft Office applications, database management, and document preparation and filing.
- Strong organizational and prioritization skills, capable of independently managing multiple tasks.
- Excellent communication skills, both verbal and written.
- Strong ethical standards and professionalism with the ability to maintain confidentiality.
Preferred Qualifications:
- Paralegal certification or relevant legal experience, particularly in personal injury law.
- Experience with CLIO or similar legal case management software.
- Fluency in Spanish is highly beneficial.
- Demonstrated ability to work under pressure in a fast-paced environment.
- Experience dealing with sensitive and confidential information with discretion and integrity.
