Legal Assistant - Litigation Specialist

We are a leading mid-sized law firm, focusing on no-fault litigation and providing comprehensive legal services across the east coast. Our firm is currently seeking a skilled and experienced Legal Assistant to join our team in Uniondale, NY. This role involves supporting multiple attorneys by managing daily routines and preparing complex legal documents. The ideal candidate is a versatile team player, adept at multi-tasking and thriving in a fast-paced environment. This is a hybrid position with a requirement to work from the office at least three days a week.

Essential Duties and Responsibilities:

  • Provide tailored support to multiple attorneys, understanding and adapting to their unique practice needs, priorities, and preferences.
  • Prepare, edit, format, and proofread a variety of correspondence, agreements, and contracts.
  • Create, edit, format, and proofread complex legal documents such as complaints, answers, motions, and other pleadings.
  • Handle electronic filing of documents on various court websites including ECF, NYSCEF, and AAA platforms.
  • Coordinate and manage attorneys’ calendars, scheduling meetings, conference calls, and Zoom meetings efficiently.
  • Initiate the opening of new matters using Intapp, preparing retainer agreements and other relevant documents.
  • Maintain accurate case progression data entry using Time Matters for no-fault matters.
  • Record daily attorney time entries using iTimekeep to ensure accurate billing and workload distribution.
  • Execute administrative support tasks including answering phones, copying, scanning, and submitting expenses through Chrome River.
  • Utilize advanced Microsoft Word skills to maintain a high typing speed of 55+ words per minute, ensuring efficiency and productivity.

Minimum Position Qualifications:

  • A minimum of 5 years of law firm experience in a legal assistant or similar role.
  • Proven ability to perform multiple tasks concurrently under tight deadlines.
  • Strong organizational skills with a demonstrated ability to prioritize tasks effectively.
  • Experience in electronic document filing and proficiency in using court websites like ECF and NYSCEF.
  • Proficient use of legal practice management software such as Intapp and Time Matters.
  • High competency in Microsoft Office applications, particularly Microsoft Word, and comfort with technology.

Preferred Qualifications:

  • Experience specific to no-fault litigation practices.
  • Knowledge of legal documentation and processes pertinent to litigation.
  • Ability to adapt quickly to changing priorities and new technologies.
  • Exceptional attention to detail and commitment to accuracy in all work products.
  • Prior experience in hybrid work environments and ability to self-manage remote work responsibilities effectively.
