Human Resources Administrative Assistant

The ideal candidate will have worked within an HR Department and requires great energy and initiative along with sound decision-making and outstanding attention to detail.

The ideal individual will also have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic and efficient balance among multiple priorities. The Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
This role requires you to be in the office 5 days a week and reports to the VP of Human Resources based at the corporate office in Vernon Hills, IL.
RESPONSIBILITIES
- Responsible for project managing event planning for annual corporate events inclusive of budgeting, presenting event plan to executive staff, and managing all day of event activities
- Negotiates with vendors on behalf of the company to ensure the best rates for all aspects of events with discretion based on budgetary restrictions and final sign off and approval from department
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the VPs, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Coordinates scheduling and calendar management, including agendas, mail, email, calls, travel arrangements, vendor management, and company events
- Performs administrative and office support, such as typing, writing memos, spreadsheet creation and management, and maintenance of filing system and database
- Processes invoices and payment of invoices in the HR, Facilities, and Legal departments
- Processes expenses reporting for VPs
- Serves as backup to receptionist
- Maintains professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Manages, coordinates, and arranges travel and travel-related activities, including hotel booking, transportation, and meal coordination
- Updates and creates organizational charts
- Writes corporate communications and works closely with Corporate Communications to disseminate information
- Maintains and manages personnel files of associates in Perceptive Content
- Schedules interviews and coordinates new hire orientations periodically
- Supports Company Cares program by processing all donation and sponsorship requests, matching gifts, dollar for doers and jean day payments made on behalf of our associates
- Assists in the coordination of internship program and events
- Opens and manages incoming and outgoing mail in the HR and Legal departments
- Bachelor’s degree required
- 5 years event planning experience and excellent project management skills
- 5-10 years admin/executive assistant experience
- Experience working in a Human Resources department
- Must be willing to work in the office daily
- Willingness to work overtime as needed
- Excellent attention to detail
- Must have Excel, PowerPoint, Word, and HRIS systems skills
- Comfortable working in a rapidly changing, fast-paced environment
- Friendly and approachable, displays diplomacy and tact
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly
- Very strong interpersonal skills and the ability to build relationships with stakeholders

The compensation package for this position is commensurate with experience and includes an attractive base salary with annual bonus incentive & competitive benefits package.
