Job Summary:
The Program Coordinator participates actively in the management of the Alabama Professionals Health Program and any other affiliated programs managed from the office. This individual provides confidential and responsible administrative support to the Director, the Medical Director, Program Operations Manager, any other Executive Staff based on a good working knowledge of the operational policies and procedures. This position provides for the opportunity to initiate new programs and to make suggestions for improvement of existing programs. A congenial teamwork attitude is essential, as is a style of self-directed motivation.
Qualifications: Education in business administration and/or office management, BS preferred.
Required Knowledge, Skills & Abilities:
(1) Considerable knowledge of modern office procedures, practices and equipment, the ability to exercise judgment and discretion in applying and interpreting policies and procedures, and respect for the confidential aspect of the program.
(2) Qualified candidate must be a responsible, self-motivated individual who exhibits a professional working knowledge of computer database systems (Visual Basic program “Affinity”), Microsoft Windows, and MS Excel/Word/PowerPoint in order to effectively maintain the data management program and other office procedures and functions.
(3) Qualified candidate must be a mature, emotionally stable individual with excellent communication skills, both orally and in writing, in order to establish and maintain working relationships with the various personalities that communicate with the Program.
Administrative Duties:
- Report to the Director on a regular basis.
- Take calls from healthcare professionals in the monitoring program and case note all calls.
- Monitor all missed check-ins and case note.
- Do new intakes as required.
- Assist the Case Manager and the Program Operations Manager in setting up frequency profiles, managing selections, entering demographic information and reports.
- Help manage Affinity Alerts for non-compliance of monitored individuals.
- Assist in reaching out to Healthcare Professionals who are missing quarterly reports.
- Assist the Director in organizing the agenda for the Alabama Wellness Committee meeting and attend these meetings.
- Assist the Director w/ preparation of reports and budget.
- Help coordinate TMG and Monitoring program activities.
- Develop and maintain relationships with members of local and state alliance groups and assist in maintaining and developing their active involvement in this program.
- Establish and maintain contacts with professional colleagues in other states in similar positions.
