Job Summary
The Front Desk Receptionist serves as the first point of contact for patients, visitors, and staff at the hospital. This role is responsible for greeting and checking in patients, managing phone calls, scheduling appointments, verifying insurance information, and maintaining a welcoming, organized, and efficient front office environment. The ideal candidate is compassionate, detail-oriented, and comfortable working in a fast-paced healthcare setting.
Key Responsibilities
- Greet patients and visitors warmly and professionally upon arrival
- Check patients in and out, verifying demographic and insurance information
- Answer, screen, and route incoming phone calls in a timely and courteous manner
- Schedule, reschedule, and confirm patient appointments
- Collect co-pays and process basic billing transactions
- Maintain and update patient records in the electronic health record (EHR) system
- Ensure patient confidentiality in compliance with HIPAA regulations
- Coordinate with clinical and administrative staff to ensure smooth patient flow
- Manage waiting room environment, keeping it clean, organized, and comfortable
- Handle patient inquiries and direct them to appropriate departments or staff
- Process incoming and outgoing mail, faxes, and deliveries
- Assist with administrative tasks such as filing, data entry, and correspondence
- Respond calmly and effectively during emergencies or high-stress situations
Qualifications
Required:
- High school diploma or equivalent
- Prior experience in a receptionist, customer service, or administrative role (healthcare setting preferred)
- Strong communication and interpersonal skills
- Proficiency with computers, phone systems, and office software (Microsoft Office, EHR systems)
- Ability to multitask and remain organized in a busy environment
- Knowledge of HIPAA privacy regulations (or willingness to be trained)
Preferred:
- Associate degree in healthcare administration or related field
- Bilingual (English/Spanish or other languages relevant to patient population)
- Familiarity with medical terminology
- Experience with insurance verification and medical billing basics
