Job Description

3.1 Tasks

The Contractor is required to provide design, facilitation, reporting, writing, and advisory services to support meetings and discussions, and to help advance the priorities of the advisory bodies and other engagement fora.

The tasks may include:

  1. a) Advisory services: Provide guidance to Environment and Climate Change Canada (ECCC) on how best to support the advisory bodies and other engagement fora, taking into account appropriate and necessary cultural and sector-specific considerations. Offer ongoing strategic, impartial advice to ECCC and the Chair(s) on how best to achieve desired outcomes.
  2. b) Meeting planning and preparation: Support the Secretariat(s) and Chair(s) with meeting planning and preparation. This includes attending planning meetings, assisting in the development of agendas, proposing meeting objectives, engaging with members and other key participants where appropriate, developing facilitation plans to achieve desired outcomes, and providing additional assistance as needed.
  3. c) Meeting facilitation: Facilitate both virtual and in-person meetings in a way that encourages meaningful and respectful dialogue among participants, supports the advancement of work plans where appropriate, keeps to the agenda, and ensures that each meeting’s objectives are met.
  4. d) Meeting reports: Prepare a report for each meeting that includes a list of participants, a summary of key discussion points, action items, and next steps.
  5. e) Priority setting and work planning for the NACOSAR as needed: Assist in determining, designing, reviewing, and/or implementing short- and long-term priorities, as well as drafting related documents.
  6. f) Communication: Maintain regular communication with ECCC to share milestones, challenges, and progress related to the completion of the above tasks.

In support of the above-mentioned tasks, ECCC will:

  1. a) Schedule and attend meetings, where appropriate
  2. b) Provide required meeting materials, where possible
  3. c) Provide all relevant background information – including names and contact information for participants and other relevant parties, where possible
  4. d) Circulate agendas and other relevant meeting materials
e) Be available for consultation and to provide direction and guidance to the Contractor, as required.
