Job Description: Export Documentation / Office Administration

1. EXPORT DOCUMENTATION
  • Proofing shipping documents against shipping instructions and give instructions to forwarders and/or shippers
  • Issue invoices and other required documents using the company system by entering the data from the shipping documents
  • Sort and distribute original shipping documents to clients/agents and to the bank by using the Letter of Credit
  • Handling discrepancy notices or other banking related cases for payment/ documents/Letter of Credit status
  • Keep track of the status of shipments and/or documents
  • Communicate with overseas offices and business partners such as suppliers, forwarders, shipping companies, as well as agents regarding shipping needs from the clients
2. OFFICE ASSISTANT/ADMINISTRATION
  • Basic administrative work such as emailing, answering a phone, and faxing
  • Scanning and filing of the documents
  • Check in and record packages containing original shipping documents
3. ACCOUNTING ASSISTANT
  • General Ledger, Cash Receipts, and Payment entries using MS Dynamics GP
  • Set up and send wire transfers by using online banking system
  • Balance bank sheets
4. OTHER DUTIES AS ASSIGNED

Required and Preferred Skills:
  • Basic MS Word and Excel
  • Multitasking, organizational, and communication skill
  • Be able to follow directions precisely and pay attention to details
  • Be able to think critically and link concepts together
  • Observe and retaining information
  • Be able to perform under fast paced work environment and with deadlines
