Job Description

The Executive Secretary position is equivalent to a Chief Executive Officer (CEO) role in a private-sector setting, requiring a seasoned leader with strong management, financial, and project delivery experience.

The Executive secretary serves as the chief administrative and operational head of MOBA, responsible for implementing the strategic direction set by the National Executive Committee (NEC) and the Ebusuapanyin. The role entails overseeing day-to-day operations, financial management, project execution, stakeholder relations, and the overall growth and sustainability of the association. He plays a pivotal role in supporting the Executives of the Association and efficiently handles the day-to-day responsibilities thereby enabling them to focus on strategic initiatives. Acting as a gatekeeper and Liaison, the Executive secretary will source for sponsorship, grants and donations for MOBA and Mfantsipim, assist in coordinating alumni gatherings, managing membership databases, drafting newsletters and facilitating correspondence between alumni and the association for the sustainable growth of the association. His key objective is to meet and exceed the goals set out in the MOBA strategic business, plan, within budget and time frame.

Key Responsibilities

Strategic Leadership and Governance

  • Provide strategic advice and operational leadership to the Ebusuapanyin and NEC.
  • Translate MOBA’s strategic plan into actionable programs, ensuring alignment with its mission and objectives.
  • Develop and implement policies, procedures, and frameworks for effective governance and accountability.
  • Support the NEC in planning and executing Council and Annual General Meetings, ensuring effective decision-making and documentation.

Project Management and Implementation

  • Lead the planning, coordination, and execution of all MOBA projects—including infrastructure, educational, and social initiatives.
  • Oversee the completion of key capital projects such as the Kwabotwe Centre for Sports Excellence (KCSE) and the Mfantsipim@150 celebrations
  • Develop project management tools and dashboards for tracking deliverables, budgets, and timelines.
  • Ensure all projects are executed within scope, cost, and quality parameters.

Financial Management and Resource Mobilization

  • Oversee all financial operations of the Association, including budgeting, accounting, and reporting.
  • Ensure compliance with the Ghana Companies Act 2019 (Act 992) and international financial reporting standards (IFRS).
  • Develop and implement a sustainable resource mobilization strategy, engaging year groups, corporate partners, and donors.
  • Supervise the preparation of audited financial statements, quarterly reports, and variance analyses.

Stakeholder Relations and Communications

  • Build and maintain strong relationships with key stakeholders, including the Methodist Church Ghana, Mfantsipim School administration, year groups, local and international MOBA chapters, sponsors, and partners.
  • Act as the spokesperson of MOBA Secretariat on official matters, representing the Association at public events and stakeholder meetings.
  • Ensure consistent communication, transparency, and engagement with members and partners.
  • Oversee the rollout and streamlining of the MOBA Digital Database and other initiatives by the National Executive Committee

Secretariat Management and Administration

  • Lead and supervise the Secretariat staff to ensure operational excellence and accountability.
  • Develop annual work plans, performance metrics, and staff development programs.
  • Ensure efficient document management, correspondence, and record-keeping systems.
  • Maintain a positive and productive work culture that reflects MOBA’s values.

Monitoring, Evaluation, and Reporting

  • Track progress on all MOBA programs and provide periodic reports to the NEC and Council.
  • Measure impact, evaluate project outcomes, and recommend corrective actions.
  • Support the development of dashboards and digital tools for transparent reporting.
Minimum Requirements
  • A master’s degree in project management, finance, business administration or a related field
  • 10+ years of progressive management experience in the private sector, preferably at the senior executive or CEO level.
  • Experience in Sales and Business Development
  • Strategic leadership ability
  • Proven experience managing multi-million-cedi projects, budgets, and organizational transformation initiatives.
  • Strong background in corporate governance, financial reporting, and stakeholder engagement.
  • Professional certifications such as PMP, CFA, CPA, or ACCA are an added advantage.

Tenure and Remuneration

  • Tenure: Two-year renewable contract based on performance.
