Executive Assistant/Office Manager
CEO of a Dallas-based hedge fund seeks an experienced Executive Assistant to assist with the day-to-day responsibilities of running both their business and personal endeavors. The job requires incredible organization for an ever-changing business calendar and complex schedule. The position is based in Dallas, Texas. The candidate should be well-organized and be comfortable scheduling meetings and working with the family.
Primary Responsibilities:
- Provide administrative support to senior executive
- Manage Outlook calendar and contact database for one or more executive
- Screen and evaluate incoming calls/mail and report sensitive information in a timely manner
- Create and maintain all travel itineraries; make reservations as requested
- Schedule complex meetings with multiple calendars and conference room bookings
- Maintain clear communication and rapport with all clients and vendors
- Handle sensitive information with good judgment, discretion, and absolute confidentiality
- Running errands and coming up with outside of the box solutions for problems
- Full execution of all special requests, both business and personal, as well as the ability to handle multiple projects with ease
Qualifications:
- Bachelor's degree
- Preferred Experience: 5-7+ years of experience supporting one or more senior executives/family offices in a professional corporate environment
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Proficient in Microsoft Office Suite
- Excellent phone etiquette
