Executive Assistant
Marcilly Recruitment's Client, a Tier 1 Family Office are looking for an Executive Assistant to join their growing team. The company was founded in 2013 by partners with a Hedge Fund and Corporate Finance background. With this investment pedigree, their mission is to provide best-in-class Asset Management and Investment Banking services globally, to a select number of families.
This is an exceptional opportunity for a high calibre individual, who thrives within a pressurised and fast-paced working environment, to work directly alongside senior management and be part of a close-knit and self-motivated team. The candidate will support a director with day-to-day diary management as well as perform a broad range of administrative and organisational functions within the EA support team and work closely with the EA to the Partners.
It is an extremely entrepreneurial environment that will allow the successful Executive Assistant to get involved across the business and try your hand at different responsibilities. This will then give you the opportunity to learn where you excel and what you enjoy to determine how you can progress within the firm.
Executive Assistant duties will include but are not limited to:
- Day-to-day diary management for the Investment Director, COO & General Counsel
- Setup external meetings, along with meeting room preparation
- Provide secretarial support to a range of committee meetings, including diarising them, coordinating attendance, booking rooms, arranging room set-ups, arranging refreshments as required
- Event planning - both internal and external. Including international client events and travel
- Coordinating international travel, creating itineraries, booking hotels, flights and visa applications
- Expenses and finance management
- Print, compile and prepare materials in advance of all meetings
- Working with facilities in order to ensure the office is well looked after
- Supporting the COO in office projects
- Assisting in company marketing materials, company newsletter and social media. Assisting in the project management of a company rebrand.
- Client gifting and marketing initiatives
- CRM management
The Executive Assistant requirements:
- 2-5 years' of professional experience max
- Experience of working as an Assistant before, ideally within financial services or legal, but open to all creative (particularly luxury) and corporate backgrounds
- The ability to follow instructions carefully and provide clear, confident communication both internally and externally
- Proactive, able to organise and prioritise a varied workload, and meet deadlines
- Calm under pressure
- Exceptional attention to detail whilst always maintaining the highest standards
- Able to work with a high degree of autonomy and independence
- Be flexible and able to undertake additional or alternative tasks and duties
- Be able to maintain the highest degree of confidentiality and discretion
- Highly proficient in Microsoft Office
- Desire to work in a collegiate and dynamic team, to be a true team player
- Extremely resourceful, resilient and adaptable
- Strong educational background with a degree or strong A levels highly desirable
They are open on the candidate's background, but ideally they will be a university graduate, prioritising those from a Russell Group university. They are ideally looking for a driven and hungry second jobber, with a minimum of two years working in an administrative or operational role. This is an amazing opportunity to get stuck in and grow with the firm. They want someone who is eager to learn, hardworking and capable of working in a fast-paced environment.
Executive Assistant Benefits:
- Hours are from 8.00am (Mon-Fri)
- Salary: £45K-£55K depending on experience
