Primary Responsibilities

  • Maintain executives' calendar, schedule meetings, conference calls, and coordination of meetings
  • Coordinate conference rooms including any catering, audio/videoconference set-up
  • Provide overall assistance to staff
  • Telephone coverage
  • Handle travel arrangements
  • Prepare and submit expense reports
  • Set-up and maintain mail groups
  • Order and maintain supplies
  • Mail distribution; arrange messenger and overnight services
  • Maintain org charts for senior management
  • New hire tickets via IMAC
  • Engage/disengage consultants/auditors
  • Temp request via Fieldglass
  • Assist managers in creating Taleo hiring requisitions- Process invoices using SMAART and T360
  • Submit floor facilities request
  • Assist other assistants in department when needed
  • Ad hoc duties as necessary to support team
  • Coordination with Bank Board members for review of regulatory filings, as well as, Regulators for monthly/quarterly meetings
  • Start time 8:30 am

  • Strong interpersonal, analytical and organizational skills
  • Ability to work independently with minimal supervision
  • Ability to multi-task and adjust calendars based off escalation of issues that arise
  • Interact with Segment and Business Heads and their assistants with scheduling or connecting urgent calls
  • Ability to manage sensitive, complex, and confidential information
  • Strong knowledge of Microsoft Office (PowerPoint, Excel, Word) and administrative practices and procedures
  • Excellent communication and interpersonal skills
