Executive Assistant
We are seeking a highly polished, proactive, and exceptionally organized Executive Assistant to provide high level administrative and strategic support. This role requires a sophisticated professional who can manage multiple priorities, maintain strict confidentiality, and serve as a trusted extension of the executive office.
The ideal candidate will thrive in a fast-paced commercial real estate environment and possess outstanding communication skills, business judgment, and the ability to anticipate needs before they arise.
Key Responsibilities
Executive Support
- Manage complex calendars, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings with investors, brokers, tenants, attorneys, and senior leadership.
- Prepare agendas, presentations, briefing materials, and follow-up action items.
- Screen calls, prioritize communications, and respond on behalf of the executive when appropriate.
- Handle confidential business and personal matters with discretion.
Real Estate / Business Operations Support
- Assist with lease documents, proposals, contracts, and correspondence.
- Coordinate with property management, leasing, construction, and accounting teams.
- Track deadlines, projects, transactions, and follow-up items.
- Support meetings involving acquisitions, dispositions, developments, and tenant negotiations.
- Maintain organized digital and physical files.
Relationship Management
- Act as liaison with high-profile business contacts, partners, vendors, and community leaders.
- Represent the executive office with professionalism and warmth.
- Build strong internal relationships across departments.
Personal / Lifestyle Support (as needed)
- Manage reservations, events, scheduling, and select personal tasks.
- Coordinate special projects and family-related logistics when requested.
Qualifications
- 5+ years supporting a C-level executive, owner, or senior principal.
- Experience in commercial real estate, finance, legal, or private office preferred.
- Strong Microsoft Office skills (Outlook, Excel, PowerPoint, Word).
- Exceptional writing, grammar, and communication abilities.
- Highly discreet, loyal, and trustworthy.
- Strong problem-solving skills and ability to work independently.
- Poised, polished, and professional presence.
- Bachelor’s degree preferred.
