Executive Assistant Financial Communications

Responsibilties:

  • Extensive diary management - organizing both internal and external meetings
  • Secretarial support to the two Director’s
  • Submitting monthly expenses accurately and timely
  • Arrange and co-ordinate International/Domestic travel management, accommodation, and all trip logistics
  • Answer all incoming calls, directing calls and handling enquiries
  • Liaise with the Executive Assistant in the UK to coordinate UK/US team meetings
  • Be the lynchpin between the UK and US office – work alongside the UK Executive Assistant to ensure the smooth running of the office
  • Assist on the organization of events, providing high admin support and undertaking research projects
  • Office management support; dealing with suppliers, managing stationery, coordinating facilities
  • Assist with the recruitment process – short listing candidates, scheduling interviews
  • Set up and orient newly hired team members
  • Assist with all IT/telecom related issues in the office
  • Assist with account work (research, etc.) as assigned

Essential Requirements:

This is not a full list of duties and to include any other duties as assigned by your line manager within the remit of this role.
  • Previous PA experience at Senior Management Level desired
  • Confident, well presented and excellent interpersonal skills
  • IT literate (fully conversant with Microsoft Word, Excel and Outlook)
  • Adaptable and enthusiastic with a ‘can do’ attitude
  • Ability to work on own initiative and as part of a team
  • Hours of work: 8:30am–6pm
