About the Opportunity

A well-established and growing real estate organization is seeking a highly organized and detail-oriented Executive Administrative Assistant to support senior leadership. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and has a strong background in bookkeeping and administrative support.

Approximately 60% of this role is accounting/bookkeeping and 40% administrative support, making it a great fit for someone who enjoys both numbers and operations.


Key Responsibilities

Accounting & Bookkeeping (60%)

  • Manage accounts payable and receivable processes, including invoice tracking and payment processing
  • Post and reconcile transactions within property management/accounting systems (Yardi experience a plus)
  • Perform bank and credit card reconciliations
  • Assist with month-end close and preparation of financial reports
  • Track and record financial activity, including investments and contributions
  • Prepare tenant billings including utilities, snow removal, taxes, and insurance
  • Manage tenant security deposits and related documentation
  • Support commission calculations and periodic financial reporting
  • Maintain accurate digital records and documentation

Administrative Support (40%)

  • Provide direct administrative support to senior leadership, including calendar and task management
  • Coordinate travel arrangements and scheduling
  • Assist with lease preparation, amendments, and related documentation
  • Handle tenant communications, including collections and issue resolution
  • Maintain and track certificates of insurance (COIs)
  • Support office operations, including phone coverage and general administrative tasks
  • Assist with marketing efforts such as posting available properties
  • Maintain organized filing systems and tracking spreadsheets

What We’re Looking For

  • 3+ years of experience in an administrative, accounting, or similar hybrid role
  • Strong bookkeeping/accounting knowledge (AP/AR, reconciliations, reporting)
  • Experience in real estate, property management, or a related industry strongly preferred
  • Proficiency with accounting or property management systems (Yardi a plus)
  • Highly organized with exceptional attention to detail
  • Ability to manage multiple priorities and follow through with urgency
  • Strong communication skills and professionalism when interacting with tenants and leadership
  • Self-starter with a process improvement mindset
