Project Description:

The vendor will review the employment policies and practices of the Ottawa Food Bank, including recruitment and selection, and assess the extent to which they reflect best practices in fostering diversity, equity, and inclusion. The vendor will assess the Ottawa Food Bank’s documented (written) policies and practices, the actual experiences of employees and job candidates, and the organizational culture with respect to DEI.

Although the Ottawa Food Bank has some flexibility with respect to timelines it is preferred that the project be completed no later than April 30, 2025.

SCOPE OF WORK

Reporting to the Chief Executive Officer, the vendor will carry out the diversity, equity, and inclusion (DEI) assessment as described in the Project Description.

The vendor will provide regular updates to the Chief Executive Officer and the Director, People and Culture regarding the status of the project and will receive and incorporate feedback regarding the execution of the project.

The vendor will provide a written report at the conclusion of the project with the vendor’s observations and opinions regarding the Ottawa Food Bank’s employment related DEI policies and practices, as well as practical recommendations to improve our DEI policies and practices.

After delivery of the report to the Chief Executive Officer, the vendor will present the report to the Ottawa Food Bank’s senior management team, responding to questions and providing explanations as required.

The vendor may also be requested to present and answer questions at a Board of Directors’

meeting and/or an all-staff meeting.

The vendor will be granted access to information regarding the Ottawa Food Bank’s employment practices and policies, and will be provided with reasonable access to employees for the purpose of conducting interviews, surveys, etc. The vendor will not be granted access to employees’ personal or confidential information but may be provided with available aggregated or anonymized data, if appropriate.

The vendor will be provided with office and meeting space as required to meet with employees, but will be required to provide all other equipment, space, materials, and items required to execute the project.

All work product, including but not limited to the vendor’s final report, shall be the property of the Ottawa Food Bank. The vendor shall not share or use the work product for any other purpose without the express written consent of the OFB.
