Paralegal – In-House Legal Department

Position Overview:
We are seeking a skilled and highly organized Paralegal to support attorneys in a fast-paced in-house legal department. This role involves handling a wide range of legal support functions, including litigation assistance, contracts administration, internal legal inquiries, and cross-functional compliance work. You’ll work closely with attorneys and legal staff to ensure efficient handling of legal matters and help maintain structure and compliance in the department.
Key Responsibilities:

Serve as first-line support for internal legal inquiries, directing to appropriate resources or handling directly.

Administer contracts including intake, tracking, review, finalization, and filing in accordance with departmental protocols.

Manage contract compliance items such as certificates of insurance and credit applications.

Oversee version control and regular audits of contract files and templates.

Own and administer the legal matter management system (HighQ), including data entry, audits, and reporting.

Maintain legal department records, legal filings, and litigation/claim binders.

Calendar and track critical legal deadlines, coordinating with both internal teams and outside counsel.

Support a variety of legal matters, including civil litigation, administrative actions, subpoenas, and compliance audits.

Lead litigation hold processes and track all litigation, subpoenas, EEOC claims, and information requests.

Coordinate document collections, manage production processes (including redactions and bates labeling), and monitor invoicing/payment.

Assist with special projects, internal reporting, and compliance support.

Provide committee and administrative backup support as needed.
Qualifications:

Minimum of 3 years’ experience in a paralegal or contract management role.

Strong litigation and document management experience.

Detail-oriented with strong organizational and communication skills.

High proficiency in Microsoft Office, Adobe, and legal technology platforms (e.g., Thomson Reuters HighQ, Legal Tracker, Conga).

Proven ability to handle confidential matters and meet tight deadlines with a proactive, can-do attitude.
