  • Scope of work

2.1.1 Development. The Contractor will develop automations in collaboration with the ADM(Fin) team. Automation priorities will be determined through consultation with the Contractor. The new resource will facilitate RPA development Knowledge Transfer (KT) from the Contractor to the CoE employees.

2.1.2 Automation Status Report. The Contractor will advise on the status of developed, both in part and in full, automations and planned automations. The aim of this advice is to identify to the Technical Authority what automation development activities have taken place and what automation development activities are outstanding.

2.1.3 RPA Opportunity Assessment. The Contractor will advise the Technical Authority on automation opportunities in various areas of financial management through exploration of financial business processes. The advice should consider, at a minimum, the following: automation feasibility, estimate of effort, return on investment, and recommended prioritisation of future automation programme activities.

2.1.4 RPA Advisory Service. The Contractor will advise on automation opportunities, technologies, and automation operating models. The Contractor, leveraging its RPA expertise, will tailor its advice based on the finance business requirements and the Finance Automation Program. The Advisory Services include strategic guidance to senior management and training and KT to

CoE team members.

  • Tasks

2.3.1 Filter and Prioritize: Assess and advise on identified processes and provide an assessment which considers: automation feasibility, estimate of effort, return on investment, and recommended prioritization;

  1. Participate in the intake process by analyzing uses cases using an established methodology to determine feasibility and estimate of effort;
  2. Develop business requirements through discussion with clients to determine business needs and facilitate prioritization;
  3. Complete prioritization of uses cases through established methodology and assessment including return on investment.

2.3.2 Development: The engagement involves developing automations from exploration/intake through to prioritization, design and deployment based on business requirements as established with client organizations.

  1. Conduct workshops and information gathering sessions in order to understand finance RPA opportunities;
  2. Process Definition Document (PDD): Outlines the steps and requirements for an automated process that is carried out using software robots or bots. It is used to ensure the process is designed correctly and can be easily understood and maintained by the Finance COE. It can include but is not limited to, the following sections:

  • Process Exceptions
  1. Solution Design Document (SDD): Outlines the technical design of an RPA software solution. It provides a detailed description of how the solution will be designed and how it meets the requirements outlined in the PDD. It can include but is not limited to, the following sections:

  • Design Detail
  1. Validate and obtain client approval for the PDD and SDD.

2.3.4 Deployment:

  1. Consult on and provide solutions to automation development and implementation roadblocks;
  2. Provide strategic advice for change management, training requirements; communications and strategies to optimize automation deployment and experience for clients;
  3. Participate in testing solutions for automation and ensuring alignment with PDD and SDD’s prior to launching automations into production/operational environments.

2.3.5 Planning:

  1. The contractor will track all automations through a work plan and provide status updates on a weekly basis with taskings to complete for the following week, including risks and issues to be discussed with the team;
  2. Participate in meetings with DFSI staff, stakeholders, and management in order to support the development of RPA knowledge in general including available RPA solutions, ADM(Fin) CoE, and RPA operating models.

2.3.6 Advisory services on deployed automations:

  1. Participate in analyzing deployed automations to determine if clients’ requirements have been met.
  2. Assist with the development of key performance indicators and analytics for senior management that details automation performance and return on investment.
  3. Advise on best practices for deploying automations and transfer knowledge to the ADM(Fin) CoE team members.

Must clearly demonstrate 2 years of relevant experience within the past 5 years developing RPA using UiPath software.

M2

Must clearly demonstrate 2 years of relevant experience within the past 5 years leading/contributing to the automation of SAP business processes within a federal government department or agency.
