As a Client Service Associate, you will provide essential support to advisors and clients alike, ensuring smooth day-to-day operations, and office administration, and delivering exceptional client service.
DUTIES & RESPONSIBILITIES:
- Be the first point of contact for clients and visitors alike: welcome and assist clients, directing them to the appropriate advisor, and answering phone calls as needed.
- Reconcile daily price and transaction downloads from the custodian to the client reporting database, troubleshooting discrepancies to ensure accuracy.
- Coordinate with custodians and external partners (CPAs, attorneys, banks, etc) to handle client paperwork, including account openings, transfers, and ongoing account maintenance.
- Record and update client information in the CRM database.
- Assist with Quarterly Client Reporting distribution and mailings.
- Retain client statements in compliance with regulatory requirements.
- Oversee and complete general office administration tasks, including vendor contact and supply orders (everyone pitches in).
- Maintain various tracking and compliance spreadsheets.
- Provide miscellaneous support to the financial planning team, including CE registration, data entry, and creating bulk mailings.
QUALIFICATIONS:
- Minimum of 2-4 years of experience in the financial services industry is preferred, wealth management or custodial experience is a plus.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office programs; experience with Dynamics CRM is a plus.
- Ability to learn and adapt to new software quickly and effectively.
- Capable of working independently and producing high-quality results.
- Experience managing and ensuring the integrity of electronic documents and software information.
