Shared Service Associate
We are looking for an early to mid-career “Client Service Specialist.” They will have the opportunity to be an early employee in a $900M RIA with a distinct ‘family office’ approach in the market. This approach means there are various disciplines that exist within our service offering and as such, this person will have flexible career mobility as specialties present themselves. As such, we are looking for a self-starter with the proven ability to deliver excellent client service and has prior experience in financial or wealth management services.
They will have the ability to anticipate and resolve problems, learn new software/technology, including AI (Claude) and have excellent communication, interpersonal and listening skills. Have a strong attention to detail and the ability to thrive in a fast-paced, ever-changing environment. Additionally, someone who is skilled at managing multiple priorities and takes pride in accuracy, can embrace challenges and navigate complex situations with confidence and adaptability. In this role, you’ll have the opportunity to:
- Play a critical role in delivering exceptional client service and professionalism to our clients
- Learn the particulars of financial operations, client service, CRM optimization, investment reporting technology (AI)
- Build and maintain strong partnerships with clients, custodian and vendors

Responsibilities:
- Assist Chief Operations Officer
- Monitor daily custodial alerts
- Resolve client account issues with custodian/vendors
- Assist in managing open CRM requests and processes
- Prepare custodial forms for all account types, including alternative investment documentation
- Ensure professionalism in client-facing processes such as onboarding and account setup
- Monitor updates to special account type processes for charitable, 529 education and pledged asset accounts
- Update operations manual as processes are improved
- Drive office efficiencies, ensuring smooth and effective client service operations
- Gain understanding of compliance policies and the maintenance of required recordkeeping
- Assist Investment Advisors, as needed
- Client data management
- Research projects
- Financial reporting for financial assets and tax
- Administration of alternative investment assets
- Inbound client request management
Minimum Qualifications:
- Bachelor’s degree required
- At least 2-3 years of experience in client service, RIA or similar role
- Prior client relationship management (CRM) experience
- Strong proficiency with Microsoft Office products and the ability to learn new software and work with AI. Excel proficiency would be great
- Exceptional oral, written and listening communication skills
- Strong organizational skills and ability to multi-task and manage several projects at once
- Ability to successfully escalate client requests in a timely manner
- Flexible, reliable, trustworthy and discreet with all matters
- Self-motivated, well-organized individual with demonstrated ability to work independently and in a team environment to follow through on details to completion
Training and Development Plan:
A newly hired Shared Service Associate would be expected to already have a solid skillset and knowledge base as an Associate in a professional environment, regardless of industry. However, the Shared Service Associate would need training to get adequately acclimated to the new working environment to learn the particular ways the company does business, the way the company likes tasks accomplished and to collaborate with the existing team. We will provide an onboarding training program with mentorship.
