Job Summary
We are seeking a highly skilled and detail-oriented C-Level Executive Assistant to support the Chairman of our full-service law firm located in the Loop. The Chairman serves as a legal and business counselor in a wide range of matters. This role requires an experienced professional with a strong background in executive support, exceptional organizational skills, and the ability to manage confidential information with discretion. The C-Level Executive Assistant will play a crucial role in ensuring the efficient operation of the Chairman’s office and requires excellent communication and multitasking abilities.
Key Responsibilities
• Executive Support: Provide comprehensive administrative support to the Chairman, including managing calendars, scheduling meetings, and coordinating complex travel arrangements.
• Communication Management: Handle incoming and outgoing communications on behalf of the Chairman, including emails, phone calls, and correspondence. Prepare and edit reports, presentations, and other legal documents as needed.
• Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all necessary materials and information are available for meetings.
• Travel Arrangements: Arrange and manage detailed travel itineraries for domestic and international travel, including flights, accommodations, transportation, and other travel-related needs.
• Confidentiality: Maintain the highest level of confidentiality and discretion regarding all business and personal matters.
• Project Management: Assist in managing special projects and initiatives, ensuring timely completion and alignment with the Chairman’s priorities.
• Office Management: Oversee the administrative functions of the Chairman’s office, managing expense reports, and coordinating with other departments.
• Stakeholder Liaison: Act as a primary point of contact between the Chairman and internal/external stakeholders, building and maintaining strong professional relationships.
• Event Planning: Plan and execute corporate events, meetings, and functions as required.
• Billing and Time Entry: Experience with time entry and billing processes is strongly preferred. Accuracy and timeliness in tracking billable hours will be critical to supporting the Chairman’s high-volume practice.
Qualifications
• Education: Bachelor’s degree in Business Administration, Management, or a related field is preferred.
• Experience: Minimum of 5 years of experience as an Executive Assistant, with at least 2 years supporting C-level executives in a law firm or related professional services environment.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

The annual salary range for this position is $90,000 to $95,000. This reflects the anticipated compensation at the time of posting and may vary depending on the applicant’s skills, qualifications, experience, and the specific requirements of the role.
