Overview
Private family office with multiple entities—including oil & gas investments, and rental properties—seeks a dependable, detail‑oriented Bookkeeper to keep the books tight across a small set of entities in QuickBooks. Work is primarily standard bookkeeping with a heavier emphasis on upstream oil & gas items (JIBs/LOE) and tax‑prep support. Non-smoker.
Position Details
- Location: Office located in Midland, TX.
- Schedule: Part‑time; must be available at least one weekday during business hours to reach vendors/operators.
- Compensation: Target $40,000/year (salaried, part‑time).
Key Responsibilities
- Core bookkeeping in QuickBooks: A/P, A/R, bank feeds, monthly closes, bank reconciliations.
- Oil & Gas focus: Code and process JIB (Joint Interest Billing) and LOE (Lease Operating Expense) entries; record revenue checks and operator statements; keep vendors and leases current and filing current.
- Multi‑entity support: Maintain clean books for rental properties and other passive entities; track inter‑entity activity when applicable.
- Tax‑prep support: Prepare and package period financials (P&L, Balance Sheet), trial balance, and supporting schedules for the external CPA; respond to document requests. (Preparing tax info for all entities, business and personal).
- Controls & documentation: Maintain vendor files, bills, receipts, and supporting docs; implement consistent naming and filing conventions per entity.
- Mail and deposits: Occasionally pick up mail from the P.O. box; deposit checks and record promptly.
- Reporting cadence: Provide monthly reconciliations; deliver quarterly financials for owner/CPA review.
- No payroll duties are required for this role.
Qualifications
- Must‑have: Proven small‑business bookkeeping experience (3+ years preferred) with strong QuickBooks proficiency.
- Industry experience: Oil & gas accounting exposure, including JIB/LOE workflows.
- Solid command of accrual accounting, bank reconciliations, A/R, A/P, and period close routines for multi‑entity environments.
- Experience coordinating with external CPAs on year‑end and 1099/W‑9 workflows.
- Education: Degree not required—must be a self-starter and skilled.
- Tools: QuickBooks (Online/Desktop), MS Excel/Google Sheets, document printer-scanners/cloud drives.
- Professionalism: Organized, discreet, and reliable; able to work independently and keep commitments.

- Texas Notary (helpful, not required).
What Success Looks Like (First 90 Days)
- All active entities in QuickBooks are current and reconciled; books tie to statements and supporting docs.
- JIB/LOE processing is timely; no missed vendor payments or operator disputes.
- CPA receives a clean quarterly package (P&L, BS, reconciliations, schedules) without repeated rework.
- Mail, deposits, and simple bills are handled promptly.
- Filing is kept up-to-date.
Work Style & Guardrails
- Access: Owner retains direct control of bank access; you will reconcile from provided statements and maintain audit‑ready files.
- Flexibility: Set a schedule that works with owner, with at least one weekday, (daytime business hours) block for vendor/operator calls and paperwork.
- Scope clarity: Role excludes payroll.
