Position Summary
The Bilingual Administrative Assistant supports front office operations by assisting patients, coordinating appointments, maintaining accurate records, and ensuring smooth communication between patients and clinical staff. This role requires professionalism, compassion, strong organizational skills, and the ability to multitask in a fast-paced healthcare setting.
Key Responsibilities
- Greet patients and visitors with a friendly, professional, and welcoming demeanor
- Answer phone calls and emails, providing accurate assistance in both English and Spanish
- Schedule, confirm, and manage patient appointments with accuracy and attention to detail
- Verify insurance information and process co-pays and patient payments
- Maintain a clean, organized, and professional front office environment
- Assist patients with intake forms and provide information regarding office procedures and services
- Collaborate with clinical and administrative staff to support efficient patient flow and communication
- Address patient questions and concerns promptly while maintaining professionalism and confidentiality
- Perform additional administrative duties including filing, data entry, scanning, and record management
Qualifications
- High school diploma or equivalent required
- Bilingual in English and Spanish — required
- Previous experience as a medical receptionist, scheduler, or administrative assistant preferred
- Healthcare or OB/GYN office experience strongly preferred
- Excellent communication, interpersonal, and customer service skills
- Strong organizational skills with great attention to detail
- Proficiency in Microsoft Office Suite and familiarity with Electronic Health Records (EHR) systems preferred
- Ability to multitask and work effectively in a fast-paced, team-oriented environment
