Location: Downtown Calgary (Hybrid: Currently, 2 days-Tues and Thursdays are office days. Mondays, Wednesdays, Fridays are work from home unless meetings require a staff to go to the office or meeting place.)
Starting Date: ASAP – the latest by June 1, 2025
Work hours: 9:00am – 5:00pm (1 hour lunch break)

Compensations: $60K-70K /year (DOE) plus benefits
Benefits: Group insurance (extended health, dental, vision, prescription, LTD, life insurance) RRSP, after completion 3 months’ probation period.

Main Job duties:
- Schedule and prepare meetings for the Alberta Japanese Business Association; Scribe to meetings; Manage and update members' database; Supports planning and Operation

- Coordinate with Japanese economic organization chamber of commerce including but not limited to handling emails and calls, prepare & submit reports; Respond to surveys from Tokyo HQ
- Perform general administrative tasks like supporting visitors from overseas office in booking the accommodation and transportation needs, coordinating for company events.
- Manage and control of documents and data [QSHE, Customer Info, Vendor Info, Mill Qualifications, Certificates, MTRs, NDA's, GHG data, Building documents, ESG, etc]
- Assists the Business Development Team in ensuring all customer Third-party system compliance requirements are met [ISNET, Comply Works, Requis, Ariba, etc]
- Performs SAP data entry of Purchase Order, Sales Order, Debit Notes, Credit Notes and all other entry works into the computer system the company has for the operations.
- Collect, collate, and create monthly and weekly reports of business - P&L, PAT, etc


Minimum Requirements:

- Bachelor’s Degree preferred. Minimum a post-secondary diploma/certificate

- Native level Japanese, Fluent in English, both spoken and written
- Computer literate and proficient in MS-Office (Word, Excel and PowerPoint)

- 2+ years admin experience preferred
- Background in Accounting and Finance
- Strong communication skills and ability to work individually as well with others
