Summary
This position is responsible for administrative duties including payroll, 401K, and other administrative operations.

Responsibilities
  • Process quotes, purchase orders, contracts, invoices, and checks.
  • Process payroll and 401K contributions, financial reporting, and tax reporting with documented procedures.
  • Maintain employee work time sheets.
  • Prepare office documents for newly hired and retired employees, and process the forms.
  • Research work assigned by the General Manager.
  • Assist the manager in developing company programs with documented procedures, including compensation, benefits, and insurance plans.
  • Translate documents between English and Japanese.
  • Inventory and order office supplies and services.
  • Assist with all aspects of general office coordination.
  • Update data and office documents.
  • Maintain computers and office equipment.
  • Handle incoming emails and calls.
  • Prepare outgoing mail and package shipping.
  • Interact with clients, vendors, and visitors.
  • Provide general support to visitors.
  • Oversee the work of junior staff.
  • Resolve administrative problems.
  • Perform additional tasks as assigned.

  • Performs special projects and other miscellaneous duties as assigned by management.
  • Maintains high ethical standards in the workplace.
  • Reports all irregular issues and problems to management for solution.

  • Responsible for maintaining a clean and safe working area.
Qualifications
  • Fluent in English and Japanese, both written and verbal
  • BS/BA in office administration or a relevant field experience is preferred
  • Excellent communication and interpersonal skills on the phone
  • Windows OS and Microsoft Office (Word, Excel, PowerPoint) operation
