Job Summary

The Administrative Officer will support the Director General in overseeing operational tasks, coordinating project activities, tracking progress, and providing general administrative support to ensure the smooth functioning of the Office of the Director General.

Job Responsibilities

  1. Project Management:
    • Plan, organize, and coordinate the execution of multiple projects under the direction of the Director General.
    • Monitor project progress, ensuring tasks are completed on time, within scope, and according to specified objectives.
    • Develop and maintain detailed project plans and schedules, tracking milestones and deliverables.
    • Proactively anticipate and resolve project-related obstacles and bottlenecks by collaborating with cross-functional teams and applying problem-solving techniques to maintain project momentum and quality.
  2. Resource Management:
    • Assist in the allocation and management of resources across projects to ensure optimal utilization and efficiency.
    • Develop and support budget report tracking and management related to project expenditures.
  3. Administrative Support:
    • Serve as a central point of contact between the Director General’s office and various departments and external stakeholders to facilitate effective communication and coordination.
    • Ensure timely updates and feedback are provided to stakeholders on project status and issues.
    • Assist with scheduling meetings, coordinating project-related events, and organizing necessary resources.
    • Prepare and maintain comprehensive documentation for all projects, including project plans, status reports, and meeting minutes.
    • Provide general administrative support, including minutes, reports, presentations and other correspondence as required.
  4. Risk Management:
    • Identify potential risks and issues related to project execution and collaborate with relevant departments to develop and implement mitigation strategies.
    • Address and resolve project-related challenges to minimize impact on project outcomes.
  5. Remain updated on relevant tools, methodologies, and technology.
  6. Perform other job-related duties as required.

Job Requirements

  • Bachelor’s degree from a recognised institution in Business Administration, Public Sector Management or Social Science.
  • Five (5) years’ experience in a similar position.
  • Any other equivalent combination of education and experience.

Knowledge Requirements

  • Knowledge of administrative principles and practices.
  • Knowledge of project management principles and practices.
