Job Description

The Administrative Officer provides comprehensive administrative and secretarial support to ensure effective office coordination, record management, and operational efficiency within the MOBA Secretariat.

Key Responsibilities

Administrative & Office Support

  • Assist with managing official correspondence, emails, and document flow.
  • Help maintain organised filing systems (physical and electronic) for records and reports.
  • Support scheduling, calendars, and coordination of meetings and events.

Meetings & Documentation

  • Assist in preparing meeting agendas, attendance lists, and supporting documents.
  • Take and type meeting minutes and help track action items.
  • Help maintain organised records of governance and Secretariat meetings.

Office & Resource Support

  • Assist with tracking office inventory, supplies, and equipment.
  • Support procurement requests and help monitor the use of office resources.
  • Provide logistical support for meetings, events, and stakeholder engagements.

Compliance & Records Support

  • Help ensure documents are properly filed and archived in line with governance and audit requirements.
  • Provide requested administrative documents to support internal audit processes.

Required Qualifications & Experience

  • Diploma or Bachelor’s degree in Administration, Office Management, or related field.
  • Minimum of 2 years’ administrative or secretarial experience.
  • Strong organizational, documentation, and coordination skills.
  • Being a MOBA is an added advantage.
