TITLE: Administrative Associate - Entry Level - - Part-Time

LOCATION: This position is based in our Tinley Park, IL headquarters at 7851 West 185th St., Ste 200, Tinley Park, IL 60477.

HOURS: Standard business, Monday - Friday. Part-Time 15 - 20 hours a week. The days/shift can be flexible, but hours/week must be worked onsite during standard business hours, Monday - Friday.

STATUS: Part-Time, non-exempt, hourly. This is a temporary position to handle project administrative work for 60-120 days

The Administrative Associate handles administrative support to the operations team members and management. The Administrative Associate provides updates on patient registration information, research billing inquiries and other requested administrative projects details in multiple practice management systems. The Administrative Associate may also assist with inquiries around billing, client, and patient correspondence and with other administrative support requests needed within the operations departments. The Administrative Associate maintains a strong working knowledge of client processes and practice management system.

  • Updates patient information and computer records, as needed and requested by operational team members or management
  • Research and responds to insurance, client and patient correspondence
  • Submits requested information to designated provider offices, insurance organizations, attorneys, clients
  • Updates registration and other information requested in practice management systems
  • Research and obtain required documents to resolve misdirected faxes, emails, or other correspondence
  • May also handle telephone inquiries or making outbound calls as necessary to gather information related to correspondence or other requests to meet the needs of the organization
  • Review the account information and necessary system applications to determine the next appropriate work activity
  • Manage and maintain desk inventory, complete reports, and resolve high priority and aged inventory
  • Conducts periodic quality assurance checks on self
  • Assist in special projects assigned by management
  • Participate and attend meetings, training seminars and in-services to develop job knowledge
  • Respond timely to emails and telephone messages from the staff, management, and the client
  • Effectively communicate issues to management, including escalated account issues as well as develop solutions
  • Incumbents are required to have physical attendance onsite at a Strivant Health approved office location to perform the duties of the role by regularly interacting with managers, other staff members, & clients.
  • Other related duties, as assigned
  • High school diploma or equivalent preferred.
  • 6 months to 1 year of recent administrative office experience in a medical medical office setting, or enrolled within school or completion of equivalent schooling
  • Equivalent schooling includes a Medical Billing Coding Certification program or a New Grad or student enrolled within an associates or bachelor’s degree. Ideally in healthcare related education programs, i.e. Health Information Management (HIM), Health Information Technology (HIT), etc.
  • Moderate computer skills Required. Prior experience using a computer and applications that are associated with performing basic work tasks (navigate in Windows, Outlook, multiple internet websites, etc.)
  • Data Entry Required: Prior experience entering data and calculating items for processing; input of data into computer systems with attention to detail.
  • Exceptional communication skills required: Must be able to speak clearly, courteously, professionally and takes the time to understand the needs and concerns of others. Skilled in developing effective rapport with customers, co-workers, or families, actively listening to develop a positive connection.
  • Ability to work in a fast-paced environment utilizing multiple reference resources.
  • Attention to detail with the ability to identify/resolve problems and document the outcome
  • Strong written and verbal communication skills
  • Solid analytical and problem-solving skills to recognize trends
  • Ability to multi-task and work independently
  • Incumbents are required to have physical attendance onsite at a Strivant Health approved office location to perform the duties of the role by regularly interacting with managers, other staff members, & clients.
  • Initiative to learn new tasks and the ability to apply acquired knowledge to future duties
