Our client, in the real estate management field, is looking for an experienced Administrative Assistant to join their team.

eal Estate Administrative Assistant

Responsibilities:
Administrative Support:

  • Answering and directing phone calls, emails, and other correspondence.
  • Manage and maintain the office calendar, scheduling meetings, inspections, etc.
  • Filing and maintaining physical and digital records of tenant agreements, lease renewals, maintenance requests, and other property-related documents.
  • Preparing, editing, and proofreading documents
Property Management, Leasing & Tenant Relations:
  • Assisting in processing tenant applications, background checks, etc.
  • Communicating with tenants regarding rent collection and general inquiries.
  • Coordinating tenant move-ins and move-outs, including organizing necessary paperwork and conducting inspections.
  • Assisting with rent collection, issuing receipts, and maintaining tenant records.
  • Assisting with the preparation and posting of available rental listings.
Office Management:
  • Managing office supplies and inventory, ensuring the office operates smoothly.
  • Handling general office inquiries and directing them to the appropriate team members.
  • Ensuring the office is well-organized, including maintaining tenant files, records, and other property-related documentation.

Key Skills & Qualifications:

  • Education: High school diploma required; minimum college diploma in office administration or related field.
  • Experience: Prior experience at a real estate firm is a large asset.
  • Software Proficiency: Familiarity with Google Suite and Building Stack is an asset.
  • Communication Skills: Excellent verbal and written communication skills, with a professional and tenant-friendly demeanor.
